TITLE

Senior Manager, College of Arts and Sciences Operations

JOB SUMMARY

Performs responsible work in managing the day-to-day operations and strategic projects of the College. This position requires a high level of initiative, judgment, and independent critical thinking in order to handle a variety of complex decisions and administrative responsibilities. This position requires exceptional organizational abilities, attention to detail, and time management skills. An individual in this position has the capacity to work independently while also collaborating effectively with teams and executives. Work is performed under moderate direction and performance evaluation is based upon completion of assignments and results obtained. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policies & Procedures.

ORGANIZATIONAL RELATIONSHIPS

Reports to: Dean, College of Arts and Sciences with indirect reporting to College of Arts and Sciences Associate Deans

Supervises: Business Manager

ESSENTIAL DUTIES - May include, but not limited to the following:

  • Oversees administrative operations.

  • Handles confidential correspondence and sensitive matters, including personnel files.

  • Oversees the work of administrative staff in the college with department budgets, payroll entry, credentialing, and faculty searches by holding workshops and meetings where needed.

  • Interprets policies and procedures to faculty, administrators, staff, and students.

  • Cultivates relationships with, and coordinates communication with, other University offices and external constituents.

  • Manages budgets and monitors expenditures.

  • Oversees the budgets and funding for College initiatives, including but not limited to new programs, CAS faculty summer research grants, CAS Faculty Fellows, CAS student group awards, and other initiatives in line with the College's strategic plan.
  • Supports and assists College academic component administrators, division heads, and staff as necessary.

  • Manages college-wide procedures and processes such as faculty searches, payroll entry, HEF awards, promotion and tenure, credentialing, onboarding of staff and faculty as it pertains to each department.

  • Coordinate meetings with college staff to foster an exchange of ideas and provide cross-team learning opportunities.

  • Disseminate information from attendance at university meetings such as the Provost's senior support meetings and the campus operations group to the College updated or changed procedures and processes.

  • Compiles and analyzes data and prepares reports for senior management.
  • Assist with college-wide faculty and staff information such as payroll, merit, inequity, promotion and tenure.
  • Assess and analyze department budgets to optimize funding use and insure correct accounts are being used for the purpose intended.
  • Fills in for vacant staff positions in the college where needed.

  • Approves all ICP, assignment, faculty search requests for the dean's office through Oracle Cloud and serves as Hiring Manager on our College's department searches as needed.

  • Manages listservs for our College.

ADDITIONAL DUTIES

  • Performs other duties as requested.

EDUCATION

Bachelor's degree or extensive experience, depth of knowledge, and some college.

EXPERIENCE

A minimum of eight years of progressively responsible experience in a senior level administrative assistant role or related capacity.

REQUIREMENT

Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position.

KNOWLEDGE, SKILLS, AND ABILITIES - The following are essential:

  • Comprehensive understanding of office practices and methods.

  • Ability to coordinate work with other employees, providing direct instruction or supervision as assigned.

  • Ability to organize work effectively, conceptualize and prioritize objectives and exercise independent judgment based on an understanding of organizational policies and activities.

  • Ability to establish and maintain effective work relationships with students, faculty, staff, and the public.

  • Ability to communicate effectively orally, by phone, in person, and in writing.

  • Ability to represent the department and University in a friendly, courteous, and professional manner.

  • Working knowledge of all Microsoft Office and Google products. Oracle Cloud experience a plus.

  • Ability to use a personal computer and other office equipment, including related university software and email.
