TITLE

Human Resources Assistant

JOB SUMMARY

Assists with daily human resources (HR) operations and provides administrative support to the HR team. Responsibilities include performing foundational HR tasks such as employee onboarding and record maintenance, and general office activities like budget tracking, procurement coordination, and maintaining inventory records. This role is ideal for individuals looking to start a career in HR. Work is performed under general supervision and performance evaluation is based upon completion of assignments and results obtained. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policies & Procedures.

ORGANIZATIONAL RELATIONSHIPS

Reports to: Manager of HR Records & Onboarding

Supervises: No supervisory responsibilities

ESSENTIAL DUTIES - May include, but not limited to the following:



  • Front desk/reception duties, including answering the phone, greeting guests, and mail.
  • Maintains departmental budget and prepares purchase requisition for items needed.
  • Answers frequently asked questions from applicants and employees; refers more complex questions to appropriate HR staff or management.
  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Maintains a variety of complex and or confidential records and files.
  • Completes Form I-9, verifies approved I-9 documentation, and maintains I-9 files.
  • Performs E-Verify data entry and processing.
  • Assists with employment verifications in writing and verbal, including prior state service, Public Service Loan Forgiveness applications, etc.
  • Performs periodic audits of HR files and records.
  • Provides administrative support to the HR department.
  • Assists with planning and execution of HR departmental special events and celebrations.
  • Maintenance of HR supplies and capital inventory.
  • Ensures compliance with Federal and State laws and regulations.
  • Performs other duties as assigned.


ADDITIONAL DUTIES



  • Attends Human Resources related conferences, seminars, and training.
  • Performs other duties as requested.


EDUCATION

High school diploma or equivalent required. Bachelor's degree in human resources preferred.

EXPERIENCE

Two years of progressively responsible clerical experience. Bachelor's or master's degree in human resources may substitute for the required experience.

REQUIREMENT

Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position.

  • Ability to apply budgetary and fiscal planning techniques within financial constraints.
  • Ability to organize work effectively, conceptualize and prioritize objectives and exercise independent judgment based on an understanding of organizational policies and activities.
  • Ability to integrate resources, policies, and information for the determination of procedures, solutions, and other outcomes.
  • Ability to communicate effectively orally, by phone, in person, and in writing.
  • Ability to use a personal computer and other office equipment, including university related software and email.

WORK ENVIRONMENT
