Basic Function |
Provide administrative support to the Office of Human Resources in a variety of related tasks related but not limited to: pre-employment and onboarding, employee data entry and maintenance, primary reception support, telephone/email monitoring, invoice review and posting, and meeting/event support. This role requires exceptional customer service skills, a high level of organizational and multitasking skills, attention to detail, the ability to adapt to changing conditions, and a strict requirement to maintain confidentiality. |
Essential Job Functions |
- Serves as primary administrative support for student employment tasks pertaining to data entry/maintenance, reporting, and logistical support for student engagement and hiring events.
- Facilitates the pre-employment and onboarding paperwork processes for offer letters, background screening, new hire paperwork and tax forms, and I-9 processing.
- Creates, maintains, or assists with employee life cycle changes via the HRIS. These transactions may pertain to employee information and/or new hires, promotions, demotions, separations, etc.
- Provide assistance by answering the general HR telephone and monitoring the email inbox for prompt and accurate service. Triage and escalate to HR partners as appropriate.
- Update hired candidate statuses in the applicant tracking system to ensure transfer of personal information to HRIS.
- Receive and post invoices via the e-procurement system for payment. Assist with tuition benefit processing in accordance with established SOPs.
- Schedule meetings and secure event spaces/locations/food orders, as needed. Take meeting minutes as assigned.
- Coordinate communications with IT, supervisors, campus stakeholders, and other members of the HR team on items related to areas of responsibility.
- Other duties as assigned.

Minimum Qualifications |
Required:
High school graduate or equivalent with a minimum of 1 year of administrative office or related experience.
Key Attributes:
- Must be highly organized and able to work within a fast-paced environment; possess excellent customer service and interpersonal skills.
- Excellent attendance and punctuality required.
- Technical proficiency including Microsoft Office Word and Excel and other systems is required.
- Attention to detail, and the ability to proactively problem-solve; work both independently and with a team, and use sound judgment to coordinate and prioritize various activities and tasks. Experience with managing confidential information discreetly.
