Description

Job SummaryReporting to the Senior Associate Director, the Financial Aid Systems Specialist will assist in all aspects of the operation of the Financial Aid Office. This position serves as the primary liaison between ITS and Financial Aid. Administer all institutional, federal, state and privately-funded assistance programs. Includes preparation of data, research and reports for appropriate agencies and offices. Provide general financial counseling to students and parents on all aspects of the financial aid application, award, and disbursement processes. Major Areas of Responsibility
  • Allocate financial aid resources, disburse funds, monitor student accounts, maintain records
  • Responsible for auditing and reconciling financial aid accounts
  • Coordinate reports on enrollment, verification and academic progress
  • Assist the Senior Associate Director with development of policy and procedures and implement under the Senior Associate Director's guidance
  • Write and edit material describing financial aid programs and processes
  • Serve as liaison to the Admission Office with respect to the Slate system and coordination with financial aid systems
  • May focus on key constituencies identified by the Director and/or work with task forces
  • Oversees the annual setup of financial aid systems to define aid year, disbursement and regulatory controls, coding used for student transactions and fund budgets. Supports the Director of Financial Aid with the setup of automated student financial aid packaging parameters.
  • Manages the loading of financial aid applications into the system. Oversees the management of the Document Imaging and Records area to ensure flow of financial aid documents and routing to appropriate queues for staff processing.
  • Serves as the functional module lead with campus IT to maintain stable student information systems by collaborating on test plans for system updates and enhancements. Oversees the testing, documentation and training of new system implementations, programs and processes of student information system bundles and updates.
  • Oversees the student communications in PeopleSoft, including letters, checklists and emails.
  • Manages the scheduling of all the batch processes in PeopleSoft, including disbursing of aid to Student Financials
  • Runs and reviews queries to identify/resolve anomalies in financial aid data
  • Manages the use of technology in the Financial Aid Office, including PeopleSoft, MS Word, Excel, IDOC, Google
  • Will be integral in the implementation of PowerFaids and Workday beginning in 2025
  • Serves as the primary technology liaison between the financial aid department and other college departments.
  • Works with the technical relationship manager and application developers to develop proposals for new and/or improved business process design.
Minimum Qualifications
  • Bachelor's degree from an accredited college or university is required.
  • Minimum three years of professional IT systems experience or technical financial aid administration
  • Expertise in query development
  • Confirmed understanding of a student information system or comparable systems
  • Experience with PeopleSoft Campus Solutions, Workday and/or PowerFAIDS preferred
  • Strong digital literacy including software (Word, Excel, PowerPoint and other presentation software), email communication tools and web-based applications
  • 2-3 years prior experience with a comprehensive financial aid program preferred, but not required
