Job Summary

Working within a learning college environment, this position provides advanced administrative office support, secretarial support, and/or program coordination activities within the Athletics Department.

Essential Functions

50% - Provide front line customer service.performs general office duties including customer service, screens and routes calls, drafts, processes, and proofreads a variety of department documents, edits department narrative and statistical reports; establishes and maintains record keeping systems/databases; orders supplies and equipment; arranges travel for department teams and staff

25% - Cooordinates facility rental, maintenance requests and concessions including vendors; procard management, purchase orders; facilitates and coordinates training materials, literature and program manuals; assist with coordinating student-athlete orientation; supports and tracks budget scholarships; serves as athletic department liaison with faculty, staff, students, and the community.

20% - Supports department functions by monitoring department and team budgets/expenditures; directs the work of part-time department staff.

5% other duties as assigned

Minimum Qualifications

Associate's Degree and two (2) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

OR

A High School Diploma with four (4) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

Desired Qualifications

1. Experience coordinating complex activities such as projects and events

2. Experience working with online office software (such as Microsoft Office Suite or Google Suites), FMS, SIS, HCM 25Live, Google Calendar and budget/purchasing programs/software.

3. Three (3) or more years of secretarial or office coordinator experience

4. Experience with diverse populations

5. Experience working with an athletic department or sports team environment

6. Experience planning, coordinating events and facility scheduling

Special Working Conditions

Possession of a valid State of Arizona Class D Driver's License is required; employee must meet district minimum standards regarding driving:

Local travel may be required.
