Overview

The mission of Tufts University School of Medicine Office of Continuing Education (TUSM OCE) is to foster and support continuing professional development and life-long learning for Tufts-affiliated physicians, nurses, and other health practitioners, as well as local, national, and international healthcare providers through high-quality, evidence-based continuing education (CE) activities. The ultimate goal is improved delivery of patient care and patient health outcomes. TUSM OCE fulfills its mission by certifying/providing different types of continuing education activities (live meetings, online courses, Regularly Scheduled Series (RSS) at affiliated hospitals, etc.) to healthcare professionals. TUSM OCE is accredited by The Accreditation Council for Continuing Medical Education (ACCME) to provide credits to physicians, and The American Nurses Credentialing Center (ANCC) to provide contact hours for nurses.

What You'll Do

Provides advanced support and coordination for TUSM OCE educational activities-including, but not limited to, RSS, live conferences, online activities, and enduring materials-to ensure they are planned, implemented, and documented in accordance with TUSM OCE policies, national accreditation standards and criteria, documentation requirements, and established timelines, while providing exceptional customer service and maintaining organizational efficiency.
  • Serves as a main Regularly Scheduled Series (RSS) contact, providing the following support:
    • Reviewing annual RSS Planning Form submissions and communicating with RSS faculty/ administrators on missing or incomplete materials;
    • Leading RSS trainings for course directors and administrators;
    • Reviewing RSS session documentation and providing accurate feedback to RSS administrators/faculty;
    • Maintaining RSS timelines/deadlines, collecting required documentation, and tracking deliverables
    • Responding to inquiries from RSS faculty, administrators, and learners by providing detailed guidance on accreditation policies, procedures, and continuing education requirements
    • Managing end-of-year RSS reports and generating certificates
  • Organizes and maintains activity files/reports, accreditation files/reports, internal databases, and our online learning management system (eeds) for institutional and national accrediting body compliance and reporting.
  • Generates/distributes activity invoices; monitors electronic payments via internal system (TouchNet) to ensure timely receipt; and maintains accurate financial records in activity files.
  • Communicates with non-RSS course directors, planning committee members, faculty, participants, commercial supporters, exhibitors, and medical education companies, as necessary, to coordinate various aspects of continuing education requirements.
  • Co-leads the onboarding and training of new student workers and contributes to the onboarding of new Project Coordinators by sharing subject matter expertise, providing guidance, and supporting knowledge transfer to promote successful integration into the role.

What We're Looking For

Basic Requirements:
Knowledge and experience typically acquired by:
  • Associate's Degree
  • 3-5 years of related office experience
Preferred Qualifications:
  • Bachelor's Degree
  • Familiarity with CE standards, requirements, and policies of the ACCME, AMA, ANCC, and other health care organizations/accrediting bodies.
  • Familiarity with adult learning principles.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, and Access), Box and Adobe Acrobat PC.
  • Exceptional attention to detail with the ability to quickly learn new software applications, accreditation requirements, and organizational processes.
  • Strong organizational and project management skills with the ability to coordinate multiple concurrent educational activities while consistently meeting deadlines and multiple priorities in a fast-paced environment.
  • Strong leadership skills, including the ability to take initiative, work independently, exercise sound judgment, and proactively solve problems.
  • Excellent presentation, facilitation, and interpersonal communication skills, with the confidence to lead trainings, present accreditation requirements, and serve as a trusted resource for faculty, course directors, administrators, learners, and educational partners.
  • Demonstrates a commitment to continuous learning by proactively leveraging available resources and participating in professional development opportunities to expand knowledge, develop new skills, and enhance job performance.

Pay Range

Minimum $27.85, Midpoint $33.15, Maximum $38.50

Salary is based on related experience, expertise, and internal equity; generally, new hires can expect pay between the minimum and midpoint of the range.
