The Honors College at West Virginia University is currently accepting applications for an Administrative Assistant.

About the Opportunity

This position provides administrative support for the Honors College.

What You'll Do

Honors College Proper

  • Manage calendars of the Dean and Assoc. Dean of the Honors College
  • Schedule requested meetings
  • Manage media room and annex calendars
  • Answer phone at front desk if /when students are not available
  • Act as designee for student workers and timecards when office admin not available
  • Manage travel for the dean and assoc. dean
  • Schedule in-house whole team events
  • Reconcile expenses for the Honors College
  • Coordinate other office responsibilities with the office administrator

Honors College Affiliated Units

  • Assist with purchasing and reconciliation
  • Assist with events

Governors Honors Academy

  • Create the Course Offerings document that includes instructor photos/biographies and course names/descriptions
  • Create a responsibilities document for the GHA interns
  • Secure classrooms for the faculty
  • Work with GHA deans to determine which faculty will give evening presentations
  • Create faculty shopping lists as faculty requests materials
  • Do academy purchasing and reconcile those expenses
  • Attend GHA planning meetings
  • Organize faculty requested materials
  • Execute plan for transporting students between campuses as well as transportation for off-campus trips
  • Book off-campus trips
  • Revise the GHA student handbook
  • Revise medication form if necessary
  • Make Qualtrics form to collect student information, insurance card scans, and all necessary waivers and signatures
  • Work with deans to modify the course request form
  • Communicate with high schools with low participation rates to encourage applications
  • Communicate with parents about GHA and how it functions
  • Assist with payroll

Other duties as assigned

Qualifications
  • Bachelor's degree.
  • One (1) year of experience with WVU business systems required.
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.

Preferred Qualifications

  • Master's degree
  • Familiarity with WVU, the honors college, and GHA.

Licenses/Certifications

  • Valid US driver's license - required as incumbent will drive students from time to time to various events as well as pick up and make deliveries
