JOB SUMMARY

Works under general supervision to supervise Medical Assistant staff and coordinate daily clinical and operational activities in an ambulatory patient care setting. Provides leadership, staff development, and operational oversight to promote efficient, safe, and patient-centered care.

  • Education

  • High School Diploma or GED equivalent
  • Experience

  • 3 years of experience as a Medical Assistant, Certified Medical Assistant, Patient Care Technician, or related patient care role in a clinic or healthcare setting, including

    2 years of experience in a Lead Medical Assistant, Medical Assistant Coordinator, or equivalent healthcare support leadership role
  • Licenses and Certifications

  • (BLS) BASIC LIFE SUPPORT certification, course accredited by the American Heart Association (AHA) or American Red Cross (ARC) Upon Hire and

    Current MOA Certification required, through one of the following organizations Upon Hire

    (CMA) CERT MEDICAL ASSISTANT American Association of Medical Assistants or

JOB DUTIES
  • Supervises Medical Assistants, Certified Medical Assistants, Medical Office Technicians, and Medical Assistant Coordinators to ensure compliance with departmental policies, procedures, and performance expectations.
  • Participates in recruitment, interviewing, selection, onboarding, and retention activities for assigned staff.
  • Ensures staff receive appropriate orientation, training, competency validation, and ongoing professional development.
  • Provides coaching, mentoring, and timely feedback regarding employee performance, attendance, conduct, and professional growth.
  • Conducts performance evaluations in accordance with organizational policies and procedures.
  • Develops and implements performance improvement plans and administers corrective actions in collaboration with leadership and Human Resources.
  • Manages staff scheduling, time-off requests, staffing coverage, payroll functions, and timekeeping activities to ensure operational needs are met.
  • Directs required staff education, compliance training, and competency management activities in collaboration with organizational and ambulatory services partners.
  • Coordinates daily staffing assignments with clinic leadership to support patient care delivery and operational efficiency.
  • Monitors clinic workflow and operational performance and implements process improvements to support quality, safety, and patient satisfaction.
  • Ensures staff adhere to policies, procedures, regulatory requirements, and department standards.
  • Oversees processing of instruments, scopes, and other clinical equipment as applicable and ensures compliance with established protocols.
  • Inspects, monitors, and assists with troubleshooting equipment and facility concerns within scope of training and escalates issues as appropriate.
  • Oversees medical supply inventory management and ensures availability of supplies required for patient care and clinic operations.
  • Facilitates continuing education activities and staff meetings to support departmental goals and compliance requirements.
  • In collaboration with clinic leadership, supports service recovery efforts and responds to patient and family concerns as appropriate.
  • Supports departmental strategic initiatives and organizational priorities through assigned projects, operational goals, and improvement activities.
  • Participates in quality improvement initiatives and performance improvement activities to promote excellent patient care and operational outcomes.
  • Represents the department through participation in meetings, committees, workgroups, and institutional initiatives as assigned.
  • Serves as a liaison with physicians, advanced practice providers, nursing staff, and other departments to facilitate communication and operational coordination.
  • Maintains competency and ability to perform Certified Medical Assistant duties as necessary to support clinic operations and staffing needs.
  • Consistently models professional behavior and leadership practices consistent with institutional values and PACT standards.
  • Duties performed may include one or more of the following core functions: (a) Directly interacting with or caring for patients; (b) Directly interacting with or caring for human-subjects research participants; (c) Regularly maintaining, modifying, releasing, or similarly affecting patient records (including patient financial records); or (d) Regularly maintaining, modifying, releasing, or similarly affecting human-subjects research records.
  • Performs other duties as assigned.
