Position Summary

The Corps Support Assistant provides office and operational support to ensure the efficient daily operation of the Corps. This is primarily an office-based position that provides reception, customer service, and a wide variety of office functions.

Operational responsibilities are secondary to the office-based position and are intended to support the overall ministry, mission and efficient operations of the Corps.

Primary Responsibilities - Office Based (Approximately 70-80%)



  • Greet visitors, answer telephone and electronic communications. Provide courteous, professional customer service to clients, volunteers, Pastors, church members, community partners and the public utilizing discretion and strict confidentiality standards. Provide referrals to resources and services not found at the Corps utilizing resource handbook or submit to volunteers or other staff to assist.
  • Perform a wide variety of clerical functions including preparing correspondence, reports, spreadsheets, presentations, agendas, meeting minutes, forms, informational packets, and other documents while maintaining accuracy, confidentiality, and professional presentation.
  • Maintain electronic and paper filing systems, databases, calendars, confidential records; perform data entry. Ensure records remain organized, current, and secure.
  • Provide accounting-related documentation and support bookkeeping functions.
  • Coordinate office operations by maintaining office supplies and forms. Provide copying, scanning and assembling of materials; organizing workspaces, and supporting the efficient daily operation of the Corps office.
  • Assist with processing Utility Assistance referrals and enter on WellSky.
  • Support coordination of volunteers.
  • Maintain a professional, organized, welcoming, and service-oriented office environment while supporting the mission and values of The Salvation Army.


Secondary Responsibilities - Operational Support (Approximately 20-30%)



  • Operate Salvation Army vehicles to provide backup assistance with errands when staff and volunteers are not available. Errands include, but are not limited to, delivering mail to post office, making bank deposits, transporting donations, purchasing and transporting office and program supplies (when shipping is not available or does not meet organizational needs). This may include loading, unloading, inventory of supplies and organizing on shelves. Maintain required vehicle documentation in accordance with Salvation Army policies.
  • Provide operational support for Corps meetings, community events, ministry programs, seasonal initiatives, fundraising activities, food distributions, volunteer projects, and special events by preparing meeting materials, registration packets, informational resources, and logistical support as needed. Support volunteer coordination, event registration, and follow-up for Corps activities and community outreach.
  • Provide backup janitorial support to maintain a clean, safe, organized and welcoming environment. Promptly report any maintenance, safety, or security concerns to the appropriate supervisor. Any janitorial-type task such as cleaning event areas or refilling supplies throughout the building will be performed only when routine custodial and volunteer assistance is not available to meet organizational needs.


Qualifications, Knowledge & Skills:



  • High School Diploma or GED required
  • Minimum of one year of clerical/secretarial office experience
  • Experience in customer service and in nonprofit, church, or social service organizations is desirable
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and the ability to learn Salvation Army software systems with basic training
  • Strong organizational, interpersonal, written and verbal communication skills with attention to detail and accuracy
  • Demonstrate initiative, flexibility, professionalism and sound judgment
  • Ability to prioritize multiple assignments while maintaining poise under pressure
  • Establish positive working relationships
  • Provide compassionate and professional customer service
  • Work effectively both independently and as a member of a collaborative team

Requirements

Valid Oregon Driver License with an acceptable driving record and the ability to meet Salvation Army driver authorization requirements. Ability to occasionally lift and carry up to 25 pounds; sit, stand, walk, bend, reach, perform routine office and light physical tasks. Ability to work indoors and outdoors as operational needs require, with occasional evening or weekend assignments during special events or seasonal programs. Successful completion of required background screening, Protecting the Mission training, and all applicable Salvation Army employment requirements.

Other Duties

The Corps Support Assistant's primary responsibilities include serving as the first contact between The Salvation Army and visitors including clients, volunteers, Pastor's, Church Member's, Community Partner. The position is primarily office-based, with a secondary supporting role in operational duties.
