The Imaging Posting and Pre-Registration Secretary Schedules, cancels, and coordinates services and procedures for physician's office and patients, taking into consideration other departments that also interact with these procedures, such as OR, Admissions testing and SSU. Pre-registers all patients at the time of scheduling. Maintains excellent working relationships with physicians and their office staff. Facilitates easy and prompt access to our services by proper utilization of available schedule times and resources.

Minimum Education and Experience:

  • High school graduate or equivalent.
  • Minimum of 1 year of previous experience in imaging scheduling or a combination of related work experience.
  • Practical knowledge of computers and computer systems

Skills and Abilities Required:

  • Computer program entry/retrieval skills. Must be able to understand computer commands and ability to utilize CRT keyboard. Word processing skills.
  • Ability to retrieve and input data into Epic and IDX while asking questions on the phone and receiving responses.
  • General knowledge of human anatomy, physiology and medical terminology. Specific knowledge of all radiological exams/procedures, diagnostic, therapeutic and interventional. The non-invasive cardiology and oncology procedures, treatments.
  • Ability to make decisions based on complex scheduling rules and regulations.
  • Excellent oral and written communication skills including English usage, grammar, punctuation and style.
  • Ability to utilize departmental telephone/PA system to communicate with employees, physicians and hospital staff. Must be able to effectively communicate both orally and in writing to patients, hospital staff and physicians.
  • Ability to read, understand and extract appropriate diagnostic codes from ICD-9-CM Coding Manual.

Essential Duties and Responsibilities:

  • Schedules in the Radiology Information System all procedures including the Breast Center, requested by physicians, physician offices or patient's utilizing knowledge of all Imaging procedures, preparation required, time required and radiologist availability.
  • Pre-registers patients by accurately obtaining all of the necessary demographic, financial data and insurance information for compliance with third party payers and billing.
  • Enforces scheduling regulations and restrictions in accordance with Departmental protocol and ICD-9-CM diagnostic coding manual to ensure an accurate schedule to maximize utilization of procedure rooms.
  • Handles cancellations and reschedules patients via telephone with patient or physician's office, as necessary, to maximize use of procedure rooms. Notifies, by telephone, the referring physician's office when a patient cancels a procedure directly.
  • Schedules surgical/angiographic cases performed in the Special Procedures Suite, CT Suite, Breast Center, or Ultrasound Suite via telephone with Surgical Posting and schedules in computer required pre-surgical laboratory testing.
  • Insures physician office and patients are instructed that examination prescriptions are to be brought with the patient or faxed to the department prior to the procedure. Scans all faxed prescription into the document manager.
  • Deals discreetly with sensitive, confidential patient information in accordance with hospital policy.
  • In the event of Radiology examination equipment malfunction, reschedules patients via telephone to avoid any inconvenience to staff or patients.
  • Cares for computer equipment properly, informing supervisor of any malfunctions or problems.

Salary Range: Minimum $18.85/hour - Maximum $31.10/hour. Compensation will be commensurate with equity and experience for roles of similar scope and responsibility. In cases where the range is displayed as a $0 amount, salary discussions will occur during candidate screening calls, before any subsequent compensation discussion is held between the candidate and any hiring authority.
