About the Department:

The Office of Outreach, Student Success, and Engagement (OSSE) supports the goal of bringing the world to the College of Engineering and Computing (CEC) and CEC to the world. OSSE ensures that CEC students, undergraduate and graduate, have access to educational, professional development, and social engagement opportunities that empower them to develop and leverage their own agency as they seek to achieve their academic, professional, and personal goals. OSSE is also dedicated to ensuring that faculty and staff within CEC who impact student success are provided with the tools needed to support student achievement.

About the Position:

The Outreach and Engagement Assistant provides administrative support to OSSE. This position supports the office's student engagement, outreach, and scholar program portfolio while also executing key administrative functions including purchasing, room reservations, event logistics, form creation, and financial reconciliation. The position focuses specifically on OSSE's work with the Resident Learning Community (RLC), the NACME Scholars Program, registered student organizations (RSOs), and external partners.

Responsibilities:

• Supports the NACME Scholars Program including coordinating scholar communications, tracking academic status updates, and assisting with portal data entry and reporting;
• Coordinates OSSE's RLC programming and activities in collaboration with RLC coordinators and university life staff;
• Coordinates logistics for external partner programming and K-12 outreach events in collaboration with the OSSE Director;
• Serves as OSSE's initial point of contact for CEC registered student organizations including NSBE, SHPE, SWE, IEEE, ACM, and others;
• Handles day-to-day administrative functions including room reservations, P-card purchases and reconciliation, Dynamic Forms creation, and general office operations;
• Supports planning and execution of OSSE signature events including BLAST-Off Week, Innovation Week, and OSSE Talks; and
• Maintains program documentation, attendance records/forms, and participant databases.

Required Qualifications:

• High school diploma or equivalent;
• Relevant experience in an office/administrative position;
• Prior experience with financial reconciliations;
• Exceptional verbal, written, and interpersonal communication skills and strong organizational abilities;
• Ability to effectively handle multiple responsibilities simultaneously and anticipate and meet deadlines, while maintaining flexibility regarding changes in priorities; and
• Proficiency with Microsoft Office suite software, including e-mail, online meeting applications, word processing, and spreadsheets.

Preferred Qualifications:

• Bachelor's degree in a related field;
• Experience (typically 2-4 years) in student services in higher education;
• Demonstrated experience in university student outreach and engagement programming;
• Experience working in varied and multicultural spaces and with diverse audiences within higher education; and
• Knowledge of university procedures, policies, and regulations.
