Client Service Administrator

Location(s): Remote

Role Type: Part-time 24 hours

Salary: $32.00 per hour + annual performance-based bonus

Summary:

The Client Service Administrator provides administrative and client service support to a fee-based financial planning practice. This role supports financial professionals and leadership by coordinating day-to-day office activities, preparing client materials, maintaining accurate records, and helping ensure a smooth client experience. The ideal candidate is organized, detail-oriented, service-focused, and comfortable supporting multiple priorities in a professional financial services environment.

Responsibilities:

  • Prepare and organize documents, reports, presentations, and other materials for client meetings and internal discussions.

  • Maintain accurate client records, files, contact information, and account-related documentation in accordance with firm procedures.

  • Assist with new business processing, account paperwork, follow-up items, and coordination with internal or external service partners.

  • Support client communications, including preparing correspondence, responding to routine inquiries, and escalating more complex matters as appropriate.

  • Coordinate calendars, schedule meetings, track follow-up items, and help ensure timely completion of administrative tasks.

  • Provide administrative support to leadership and the advisory team, including document management, workflow coordination, and general office support.

  • Maintain confidentiality and handle client and business information with professionalism and discretion.

Education Requirements:

  • High school diploma or equivalent required; bachelor's degree in business, finance, communications, or a related field preferred. Equivalent practical experience in a professional office or financial services environment may be considered in lieu of a degree.

Basic Requirements:

  • Prior administrative, client service, or office support experience required; experience in financial services, wealth management, or a professional services environment preferred.

  • Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and follow through on details.

  • Excellent written and verbal communication skills with a professional, client-focused approach.

  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint; ability to learn internet-based and firm-specific systems.

  • Ability to work independently in a remote environment while collaborating effectively with team members.

  • High attention to detail, sound judgment, and ability to maintain confidentiality when handling sensitive client or business information.
