Summary of Job Duties:The Program Administrator is primarily responsible for meticulous data collection, management, and submission to the MBSAQIP Registry to maintain program accreditation and drive quality improvement initiatives. The position requires collaboration with surgeons, advanced practice providers, dietitians, behavioral health specialists, researchers, and administrative teams to ensure accurate data reporting, and maintain regulatory compliance. This role cannot involve direct clinical charting or order entry but serves as a critical bridge between data integrity and patient support.

Minimum Qualifications:
Bachelor's degree in health sciences, nursing, social work, public health, business administration, or related field plus four (4) years of experience in program/project administration or a related setting.

Experience with reviewing charts in an Electronic Health Record. Minimum 1 year of experience in medical coding, quality, research, or regulatory compliance. Completion of relevant registry certification, as appropriate (within 6 months of hire)
Preferred Qualifications:
RN, LPN or Medical Coder with experience in surgical specialties Experience with quality indicator specifications and methodology Experience in bariatric surgery, weightmanagement programs, or chronic disease management. Familiarity with insurance authorization processes. Experience in an academic medical center or researchoriented environment.

Additional Information: Responsibilities:
Data Collection & MBSAQIP Registry Management: Identify 100 percent of metabolic and bariatric surgery patients for inclusion in the MBSAQIP Registry. Collect preoperative, intraoperative, 30-day postoperative, and long-term follow-up data through effective utilization of hospital medical record systems and coordination with the surgeon's office staff. Ensure that the MBSCR is in compliance with the terms of the Business Associate and Data Use Agreements as executed between the ACS and the center (Covered Entity) to ensure the confidentiality of patient health information and HIPAA compliance. Ensure accurate, complete, and timely data entry into the MBSAQIP Registry within prescribed assessment and data entry timeframes. Make attempts to capture 30-day and long-term follow-up data as outlined in MBSAQIP standards, including direct patient contact when necessary. Track health information through various sources, including medical records, surgery clinics, and direct patient contact, to ensure complete data capture. Identify streamlining and process improvement opportunities in the data collection process. Utilize software applications for data collection, entry, analysis, and report generation. Fulfill requests for outcomes data and reports to the MBS Committee, quality management, infection control, and administration. Participate in data compilation for audits, accreditation, and site visits. Review, approve, and formally sign off on MBSAQIP registry submissions, annual reports, accreditation documentation, and official correspondence submitted internally or externally to the ACS or hospital leadership. Exercise independent decision-making authority over daily MBSAQIP program operations in accordance with ACS MBSAQIP standards, including prioritization of case abstraction, business workflows, and registry submission timelines. Develop, implement, and revise MBSAQIP program policies, standard operating procedures, and data collection workflows to maintain continuous compliance with ACS requirements and institutional policies. Enforce compliance with MBSAQIP registry deadlines, data abstraction standards, and required 30-day and long-term follow-up processes by directing coordination among surgeons, clinical teams, and administrative leadership. Make authoritative determinations regarding process improvements, corrective actions, and resource utilization to address data discrepancies, compliance risks, and performance trends identified through MBSAQIP data analysis. Perform/coordinate administrative tasks related to senior medical student electives; educational activities planned for freshman and sophomore medical students; maintain student files to include correspondence, evaluations, and test scores; post and report grades in a confidential manner; ensure housekeeping and maintenance for student library and call room; prepare grant application for procurement of suture. Assist as necessary in the collection of student clerkship data research. Assist junior medical students by coordinating responses to student grievances or complaints; serving as a witness for meetings or counseling sessions with students as needed; being available to students for informal discussion and referring serious issues that may require involvement of the student mental health service or other counseling promptly to the clerkship director, and assisting as necessary in student emergencies. Directs work hour monitoring for student clerkships as needed and refers problems to the clerkship director. Quality Improvement & Team Collaboration: Participate in case conferences, team meetings, and quality improvement initiatives to identify opportunities for clinical improvement. Establish effective working relationships with hospital staff in surgery, medicine, nursing, medical records, and information systems departments. Collaborate with individual bariatric surgeon office staff for successful program management and data collection. Serve as an educational resource on MBSAQIP Registry requirements for internal and external audiences by developing educational materials and delivering presentations. Collaborate with academic faculty and research teams to support data collection, patient recruitment, and compliance with study protocols. Track key performance indicators and assist with continuous quality improvement projects. Participate in the MBSAQIP accreditation and continuous readiness strategy, including preparation for site visits, audits, annual reporting, and direct response to ACS feedback, data reviews, and corrective action plans. Serve as representative of the metabolic and bariatric surgery program to hospital leadership, quality committees, and ACS MBSAQIP representatives on matters related to registry participation and outcomes. May perform other duties as assigned.
