Hours:

Monday - Friday 8:00AM-5:00PM

(Additional hours as necessary to meet the objectives of the department)

Function:

Assumes responsibility for the efficient and accurate processing of the Document Management department. Assists Research Exceptions Assistant Manager with the daily oversight of the department, to ensure accuracy and adherence to departmental procedures.

Duties and Responsibilities:

  • Acts as "first line" human resource administrator to perform the following functions while communicating to the Research Exceptions Manager

    • Complete employee performance reviews and conducts interviews with employees to discuss performance, goals, and objections.

    • Ensures development of staff and handles succession planning and other personnel issues.

    • Assist with interviewing and hiring decisions.

    • Address any personnel issues within the group.

  • Assists Research Exceptions Assistant Manager with:

    • Reviewing and initialing daily balancing, general ledger tickets, and checklists, as required by departmental procedures.

    • Fulfills duties of Research Exceptions Manager in his/her absence

    • Creating and maintaining departmental procedure manuals.

    • Training of new Document Management staff members

    • Assists with annual Performance Evaluations by providing input on performance as well as recommendations for new goals for the upcoming year.

    • Assists other members of the team in resolving complex issues.

  • Assumes responsibility for the efficient and effective control of all tasks assigned to the Document Management area by:

    • Ensuring that prescribed schedules and operating policies and procedures are followed

    • Making recommendations regarding improved operating policies and procedures

    • Ensuring complete documentation of all departmental procedures

    • Allocating work and assisting training personnel

    • Promoting a positive customer service attitude among employees of the department

    • Conduct team huddles

    • Identifies and researches posting & processing errors and implements a plan to correct the errors.

    • Communicates posting & processing issues to those impacted by the problem, such as the Retail Network, Solution Center, etc.

  • Act as a liaison between all areas of the department to report to upper management in the absence of the Research Exceptions Manager.

  • Ensure adherence to policies and regulations by reviewing departmental procedures and participating in departmental audits

  • Crosstrain in all areas of the department to gain in-depth knowledge of all functions within the Document Management department

  • Oversee the reconcilement of general ledger accounts specific to the Document Management Department

  • Performs back-up duties to employees as well as to Research Exceptions Manager

  • Maintains and develops documents using various software packages including Microsoft Word, Access, and Excel.

  • Project Management

    • Assists with the project

    • Maintains documentation for testing

    • Assists with testing new products

  • Maintains a good working relationship with bank employees. Demonstrates strong interpersonal skills with the ability to work independently, as well as motivation to work as a team player to contribute to the success of the department and in turn, the organization

  • Performs additional duties as required.

Education:

Requires a high school diploma or equivalent, plus specialized training or two-year degree.

Experience:

Five to ten years general business experience with two to five years specialized experience in core banking systems, internet banking, supervisory experience preferred, including required STELLAR completion.

Physical Demands:

Operates a keypad device: 60% of the day; operates electronic equipment: 40% of the day; setting up rooms. Primary parts of the body involved in performing these tasks are the fingers, thumbs, hands, wrists, elbows, legs, lower and upper torso and feet. Sitting is required 95% of the day which in a straight position. Walking is required 5% of the day. Use of manual dexterity skills and specific vision requirements include close vision of 18"-20" for typing and data entry up to 60% of the business day. Offered rates and salaries may vary based on geographic location, market data and on experience, education, and evidenced position specific skill requirements.

For roles that are incentive eligible, payment is based upon the plan document and company, business, and/or individual performance.
