This Talent Acquisition Specialist role is responsible for providing essential administrative support to the Talent Acquisition team, helping to ensure smooth and efficient hiring and onboarding processes. The specialist will manage a range of tasks including coordinating recruitment activities, overseeing new hire documentation, and supporting key HR systems.

Onsite Location: Janesville, WI

Schedule: Monday - Friday

Hours: Business hours, 7:30AM - 4:30PM

Status: Full-time, 40 hrs/week

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Coordinate recruitment activities, including scheduling interviews, conducting reference checks, and completing primary source verifications.
  • Schedule job shadowing and mentoring experiences as requested.
  • Assist with the hire process within the HRIS (Workday), including initiating background checks, launching onboarding, and ensuring all system steps are accurately processed
  • Troubleshoot onboarding and hire-related issues for new hires, providing timely support and coordinating with internal teams as needed to resolve problems.
  • Proactively follow up on outstanding onboarding tasks and missing documentation to ensure timely completion.
  • Prepare for and assist with new partner orientations, including room setup, assembling new hire packets, and collecting required I-9 documentation.
  • Maintain and update employee databases to ensure accuracy and compliance with organizational standards.
  • Process, track, and maintain employee documentation and records, including licenses, certifications, background checks, and DOT requirements.
  • Complete I-9 verifications through E-Verify and manage ongoing re-verifications as necessary.
  • Serve as the primary point of contact by monitoring the Talent Acquisition phone line and HR front desk, routing inquiries to the appropriate team member.
  • Provide administrative and operational support to the Talent Acquisition team to promote efficiency and continuity of services.
  • Monitor and respond promptly to inquiries received through the Careers mailbox.
  • Assist with HR system responsibilities, including data entry, maintenance, and other system-related tasks.
  • Travel regularly to orientation locations, meetings, trainings, and recruitment events as required.
  • Other duties as assigned.

EDUCATION AND/OR EXPERIENCE

  • High school diploma or equivalent.
  • Experience working in a Human Resource department preferred
  • Experience with Workday a plus

CERTIFICATION/LICENSURE

  • Valid driver's license and MVR record

OTHER SKILLS AND ABILITIES

  • Strong interpersonal and customer service skills, with the ability to build rapport with candidates and staff
  • High level of computer literacy and comfortable navigating technology including the HRIS (Workday) and Microsoft Office
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Problem-solving and critical-thinking skills with the ability to troubleshoot onboarding or system issues
  • Adaptability and flexibility in a fast-paced, changing environment
  • Collaborative team player, able to work effectively with multiple stakeholders
  • Strong data entry accuracy and comfort working with databases
  • Strong organizational skills with exceptional attention to detail
  • Effective time management with the ability to prioritize multiple tasks
  • Excellent written and verbal communication skills

PAY RANGE:

$20.18 - $29.27
