Marketing Project Specialist
General Summary:
Assists with planning all Bank
conferences and internal and external meetings, department budget, Board
policies, System documents, vendor audit requests and email correspondence for
events and Advance specials.
Principal Duties and
Responsibilities:
Assists various aspects of external member meetings including but not limited to researching and securing venue sites, contract negotiations, tax exemption management, budget and agenda planning, material preparation, website registration creation, registration tracking, member analytics preparation, email distribution, speaker logistics, biography coordination, payment remittance, CPE credit management, evaluation sheet preparation and analysis, and Board summary report preparation.
Assists all logistical aspects of Member Facilitation meetings that are targeted to smaller groups of the bank's larger, more complex members.
Creates and develops user apps for various conferences including the Financial Management Conference and the MPP User Group Conference.
Creates Housing event websites and prepares tracking information and email reminders for each event.
Responsible for performing routine activities associated with the new member request triage function to be managed through MS Dynamics. Primary duties include assigning tasks associated with member requests to relevant FHLB departments and follow-up communications with members. Also responsible for making updates to member institution or contact data within the MS Dynamics system that is managed by the Marketing Department.
Assists with the department budget, allocates distributions, tracks all expenditures, works directly with Accounting to discuss variances and ensure funds are being distributed correctly on a monthly basis. Prepares final, approved budget for department. Performs quality check on invoice processing.
Coordinates all Bank recorded and live webinars. Communicates with Public Affairs to ensure the webinars are posted to the Bank's public website.
Prepares Advance Special emails and coordinates timing with Capital Markets and Credit Services departments.
Prepares Marketing materials and provides guidance for brand requirements for internal and external documents and promotional items. Maintains integrity of corporate brand.
Develops FHLB System and FHLB Cincinnati advertisements for Fifth District and national Trade Associations.
Collaborates with FHLB System Sales and Marketing Directors and the FHLB Council to coordinate budget and sponsorship activities.
Assists vendor audit requests from members by responding to inquiries, sending Information Security Statement and insurance liability forms and tracking requests. Works with Information Security annually to review FHLB Security Policy.
Performs other office duties and completes special projects as assigned.
Minimum Knowledge,
Skills and Abilities Required:
Knowledge at a level normally acquired through the completion of a bachelor's degree in marketing or business-related field.
One to three years related experience in banking or marketing professional environment.Experience planning large corporate events is highly preferred.
Excellent multitasking and time management skills, written and verbal communication, meticulous proofreading and editing skills.
Strong interpersonal skills to be able to interact with members, vendors, Board of Directors and all levels of Bank staff in a professional manner.
Intermediate knowledge of Microsoft Office software, including PowerPoint, Word, Excel, Publisher and Adobe products to produce correspondence, proposals, and marketing and financial reports.
Ability to work independently, prioritize workload, and maintain excellent attention to detail on all projects.

Working Conditions:
Hybrid work environment ( 3days in office, 2 days working at home) Flexibility to work outside of
normal business hours including early mornings, evenings and weekends. Limited
travel within the region to attend Bank hosted events may be required.
