About the Job

The Shared Services Director provides strategic leadership and operational oversight for the college's new shared administrative services organization. This role ensures units receive consistent, high-quality support while enabling efficient, equitable service delivery across the college. Reporting directly to the COO, the Shared Services Director is responsible for establishing common service standards, balancing resources across units, and continuously improving the unit support model. Working through the COO, the Shared Services Director acts as a critical conduit between the CVM Leadership Team (Administrative Council) and the Administrative Teams to ensure alignment on vision, priorities and execution.

Job Responsibilities

50% - Operational & Process Management
* Resource Allocation: Oversee the shared administrative service teams, balancing workload and aligning staffing
and resources to changing priorities to maintain continuity and equity across the college.
* Establish Standards: Develop and monitor service-level standards (e.g., turnaround times, quality, responsiveness)
across the shared services model; identify and implement process simplifications.
* Reduce Redundancy: Ensure teams create and maintain clear, documented processes and utilize consistent tools,
templates, and workflows to eliminate duplication and silos.

20% - Supervision
* Build the Pathway: Foster a supportive environment that prioritizes staff engagement, retention, and professional
growth.
* Develop Future Leaders: Establish consistent expectations for team members, provide targeted professional
development, and actively coach Functional Managers and Administrative Partner Lead to build their leadership
and supervisory capabilities.
* Management: Supervise and evaluate the work of managers (2), lead (1), and associate (1)

20% - Relationship & Stakeholder Management
* Central Alignment: Partner closely with HR, Finance, IT, and MarComm leaders to clarify roles and boundaries between shared services and collegiate units, proactively resolving cross-functional issues.
* Feedback Loops: Build continuous feedback loops and maintain strong relationships with academic unit leaders to surface emerging needs, inform long-term planning, and mitigate operational risks early.
* Advocacy: In partnership with the COO, represent shared services in college-wide planning, change initiatives, and decision-making. Participate in Administrative Council meetings when appropriate.

10% - Strategic Leadership & Change Management
* Define the Future State: Set the strategy, priorities, and operating model for the shared services function in partnership with the COO and with guidance from the Administrative Council.
* Lead the Transition: Establish the new Shared Services team by driving key hiring decisions, setting team norms, and actively guiding both staff and faculty stakeholders through the cultural transition.
* Connect People to Vision: Act as a true leader by inspiring the team, managing change with empathy, and helping staff navigate ambiguity during the realignment.

Qualifications

Required Qualifications:
* BA/BS in business administration or related field and a minimum of 8 years of related experience

Preferred Qualifications:
* Experience with, knowledge and skills related to, higher education, clinical service or research programs, and/or the University of Minnesota
* Experience leading, engaging, and influencing others through significant organizational change
* Demonstrated ability and flexibility to work successfully with a diverse group of internal and external clients
* Ability to lead and implement strategic initiatives
* Demonstrated evidence of skill in writing reports, policies, communications or planning documents
* Collaborative project management and leadership experience
* Excellent written and verbal communication skills with detail-oriented and strategic aptitude
* Demonstrated ability to solve complex problems and ability to work independently.
* Experience in, and an ongoing commitment to, a culture of diversity, equity and inclusion; working effectively with and across diverse communities: e.g. people of color, underrepresented groups; people with both visible and invisible disabilities; women; people of various gender and sexual identities and expressions; and first-generation students from
economically disadvantaged backgrounds. Understanding and appreciation of the challenges facing a large public university and experience working with faculty and university staff

Physical Requirements

Pay and Benefits

Pay Range: $105,000- $130,000 annually, depending on education/qualifications/experience
