| Position Summary |
Position serves as executive and administrative support for the director's office, overseeing daily operations in a high energy atmosphere. Position is the principle point of administrative contact and liaison with patrons, donors, senior administrative officials, CEOs, staff, other museum professionals, artists. Coordinates the work of support and operational staff. Performs data gathering and analysis and compiles and packages statistics for consumption by key constituents, such as the Provost's Office and donors, or for public presentations. The position also prepares non-routine correspondence, both written and digital, on behalf of the Director and Museum, which may be sensitive and confidential. This position works with director on confidential personnel matters, communicates with major contributors and donors, and organizes director's schedule and travel. |

- Possess organizing and coordinating skills
- Able to work independently, make administrative and procedural decisions
- Able to anticipate and troubleshoot problems with minimal interruption to director; possess professionalism, confidentiality, diplomacy, good memory;
- Office management skills, including database management, word processing (WP 5.1 and WORD); Resourceful and possess excellent command of English language;
- Ability to take dictation; stewardship skills necessary in dealing with patrons and donors.

- Manages communication for director by email, written correspondence, and phone with patrons, major donors, peers, professional associates, museum directors, organization chairs, CEOs, senior UGA administrators.

- Arranges meetings, conference calls, stewardship functions, committee meetings.
- Makes travel arrangements for the director. Frequently, trips are multi-purposed and complicated.

- Submits director's travel authorizations, expenses and other expenditure documents for reimbursement.
- As directed by director, assist other senior staff with travel expense reports, TA's, and travel policies and procedures.

- Serves as general office manager. Duties include: collecting and distributing mail and packages, maintaining workroom and office supply inventory for all staff, preparing UGAMart requisitions for office supplies, maintaining GMOA association memberships, submitting invoices to the business office for payment.
- Serves as museum contact for Canon copier maintenance and trouble-shooting and for 3rd floor facility issues. Coordinates with UGA custodial crew and museum building maintenance supervisor on concerns such as restroom supplies and general maintenance visits from UGA's Facilities Management Division.
