POSITION TITLE

R&D Portfolio Administrator

POSITION OVERVIEW

The R&D Portfolio & Systems Administrator provides administrative support for the New Product Development (NPD) portfolio within the Performance Colorants & Ingredients business. This role is responsible for maintaining project information in portfolio management systems, coordinating the collection of project data, and preparing standard reports and presentation materials that support project reviews and business decision-making.

The position works closely with project leaders and functional teams to ensure required project information is complete, accurate, and available for activities such as gate meetings, business planning reviews, portfolio reviews, and other recurring business processes.

JOB RESPONSIBILITIES

Project Data Administration

  • Enter, update, and maintain project information in project management and other business systems.
  • Assist project teams with project setup and routine updates.
  • Maintain project records, documentation, and templates.
  • Ensure project data is organized and current within established systems.

Data Quality & Follow-Up

  • Review project information for completeness and accuracy.
  • Identify missing, inconsistent, or outdated project data.
  • Follow up with project teams to obtain required information and updates.
  • Track outstanding data requests and provide status updates as needed.
  • Perform routine data quality checks using established standards and procedures.

Reporting & Presentation Development

  • Generate standard reports from project management systems.
  • Compile project information to support gate meetings, portfolio reviews, IBP reviews, and leadership updates.
  • Create presentations and other work products using established templates.
  • Prepare meeting materials, dashboards, and summary reports from available project data.
  • Support the preparation of recurring portfolio and project review packages.

Administrative Support

  • Maintain project files and supporting documentation.
  • Coordinate collection of project information from multiple stakeholders.
  • Support process documentation and continuous improvement activities.
  • Serve as a point of contact for routine questions regarding project data system and reporting requirements.

QUALIFICATIONS - REQUIRED

Education & Experience

  • Associate's degree or Bachelor's degree.
  • 2+ years of experience in an administrative, project coordination, data management, or business support role preferred.

Core Competencies

  • Strong attention to detail and organizational skills.
  • Ability to manage multiple tasks and deadlines.
  • Strong written and verbal communication skills.
  • Ability to work effectively with cross-functional teams.
  • Customer-service mindset and willingness to follow up on open items.

Technical Skills

  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Experience working with databases, project tracking tools, or business systems.
  • Ability to create reports and presentations using standardized templates.
  • Experience with PowerSteering, SharePoint, Power BI, or similar systems is a plus.
