Hospitality Services Coordinator (Part-Time, 30 Hours/Week)
Position Summary The Hospitality Services Coordinator plays a hands-on role in supporting the firm's hospitality, catering, and event operations, helping to create a professional, welcoming, and client-focused environment for employees, clients, and visitors. This position serves as a key on-site resource for meeting and event support, including conference room preparation, catering coordination, food and beverage service, event setup and breakdown, inventory management, and hospitality-related administrative tasks.
Key Responsibilities
- Provide hands-on support for all hospitality and catering functions, ensuring a welcoming and professional experience for clients, guests, and staff.
- Coordinate and execute conference room setups, catering deliveries, food and beverage service, and post-event cleanup.
- Serve as the primary on-site resource for meeting and event support, troubleshooting last-minute hospitality needs and ensuring seamless execution.
- Place catering, food, beverage, and hospitality supply orders in accordance with firm needs and established processes.
- Serve as back-up to Receptionist, regularly. Adaptable to cross-training.
- Receive, organize, stock, and maintain inventory of hospitality supplies, snacks, beverages, and kitchen areas.
- Assist with the setup, breakdown, and support of firm events, training sessions, receptions, meetings, and special functions.
- Ensure conference rooms, kitchens, hospitality areas, and event spaces are clean, organized, fully stocked, and presentation-ready at all times.
- Coordinate vendor deliveries and maintain positive working relationships with catering and hospitality service providers.
- Process catering invoices, track expenses, organize billing documentation, and submit information for payment in a timely and accurate manner.
- Maintain hospitality calendars, catering schedules, and event support requests to ensure appropriate coverage and preparation.
- Follow established hospitality procedures, checklists, and service standards to promote consistency across all firm locations.
- Respond promptly and professionally to hospitality requests from attorneys, staff, clients, and visitors.
- Collaborate closely with the hospitality team, administrative staff, facilities, and practice groups to support firmwide meetings, events, and special initiatives.
Qualifications
- Experience in professional services or a law firm environment
- Positive, team-oriented attitude with a strong commitment to customer service
- Excellent organizational, communication, and multitasking skills with strong attention to detail
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams
- Ability to manage multiple priorities, work independently, and adapt to changing business needs
- Experience with invoice processing, billing, and administrative coordination preferred
Work Schedule
- Part-time, 30 hours per week, 9: 00 a.m. 3: 00 p.m., Monday through Friday.
- Schedule may shift based on firm needs and may include occasional overtime.
- Travel between two Wilmington offices is required.
