Executive Admin Assistant

With minimum supervision, and reporting to the general manager or above, responsible for administrative and/or project-oriented duties of considerable scope, sensitivity, and complexity requiring extreme confidentiality, independent judgment, familiarity with applicable procedures, coordination, and follow-through.

Functions and Responsibilities

  • Efficiently operates personal computers and other office automated equipment to perform the full scope of word processing, graphics, and/or publishing applications, as well as creating documents containing financial or statistical data or scientific, technical, or legal terminology.

  • Enter and manipulate data on spreadsheet, database, or file management program and perform a broad range of typing projects.

  • Proactively identify needs and initiate administrative projects, establishing priorities and procedures, to accomplish objectives.

  • Interface effectively with team members, functional departments, and customers.

  • Delegate portions of assignments and offer support and assistance to others, as required.

  • Collect data, conduct research, and compile information using a variety of mathematical calculations for a broad range of reports and projects.

  • Proofread and correct grammatical, typographical, compositional, or data errors.

  • Read mail, highlight action or important items, and attach relevant files or

    information before distributing.

    May ascertain which items are to be delegated and follow-up for timely responses. Respond to correspondence or draft response for review and signature in a timely manner.

    Screen calls and respond to a broad range of inquiries from all levels of employees and external contacts.

  • Closely monitor calendar and make appointments as required. Make complex domestic and international travel arrangements.

  • Process and file various company required forms and reports, such as expense reports and cash disbursement requests.

  • Coordinate with internal and external executive-level staff to schedule in-house and off-site meetings.

  • Coordination may include arrangements for travel and hotel accommodations, meal menus, recreational programs, guest speakers, and developing agendas.
    Actively contribute to lean initiatives by identifying and providing suggestions on areas for improvement.

  • Effectively apply lean concepts and tools in work area.

  • Observe all company policies and procedures, including safety rules, and maintain a highly organized and efficient work area.

  • Perform other related responsibilities, as requested.

Qualifications and experience

  • Demonstrated ability to perform the essential functions of the job typically acquired through four or more years of related experience as an executive administrative assistant.

  • College education is preferred.

  • Must possess excellent communication, interpersonal, organizational, and written (composition) skills. Ability to use standard business applications with strong computer skills with Microsoft Word, Excel, PowerPoint, and Lotus Notes.

  • Ability to work independently with only general direction and instruction regarding the scope of assignments. Handles multiple tasks, with changing priorities and has exceptional initiative, paying close attention to detail and follow-up as required. Open to assuming greater responsibilities as needed. Ability to work effectively with others and be a participative team player.

  • Ability to effectively demonstrate team member competencies and participate in goal setting, performance feedback, and self-development activities.

Physical Requirements

While performing the duties of this job, the team member may sit or stand frequently is required to use hands to operate a computer and talk or hear. Specific vision abilities required by this job include close vision. Also expected of the employee is regular attendance, the ability to work cooperatively and professionally with others and members of the public, and the ability to manage multiple tasks at once. Overnight long-distance travel may be required, based on the individual needs of the position.

Competitive Compensation

  • Pay Range: $25.23/hr to $42.04/hr
