POSITION SCOPE

The Operations Coordinator is responsible for supporting daily shop and yard operations through inventory monitoring, document control, timecard administration, and data entry. This position ensures Bills of Lading (BOLs), delivery records, inventory information, and employee timecards are accurately collected, processed, and distributed to the appropriate personnel. The role serves as a key administrative resource for the Laredo operation while assisting with operational logistics as needed.

PRIMARY DUTIES

* Collect, review, organize, and distribute Bills of Lading (BOLs) for tanker deliveries, shot deliveries, paint deliveries, and other incoming materials.

* Ensure delivery documentation is accurately submitted to the appropriate departments and personnel.

* Monitor inventory levels and assist with maintaining accurate inventory records.

* Track material receipts and inventory transactions to support operational needs.

* Collect, review, and enter employee timecards for Laredo facilities and operations.

* Perform data entry and maintain accurate records within company systems, databases, and spreadsheets.

* Complete all documents, forms, reports, and records in accordance with company policies and procedures.

* Coordinate with vendors, drivers, and internal personnel to ensure documentation is received and processed promptly.

* Assist supervisors with administrative reporting and operational recordkeeping.

* Maintain organized filing systems for delivery records, inventory documentation, and payroll-related information.

* Support shop and yard operations with additional administrative or logistical duties as assigned.

* Maintain a professional appearance and conduct in accordance with company policy.

* Perform other duties as assigned.

REQUIREMENTS

* High School Diploma or equivalent required.

* Valid driver's license preferred.

* Previous experience in administrative support, inventory control, payroll processing, data entry, or a related field preferred.

* Strong organizational and time-management skills with the ability to prioritize multiple responsibilities.

* Proficiency with Microsoft Office programs, including Excel and Outlook.

* Accurate data entry and recordkeeping skills.

* Ability to maintain confidential employee and company information.

* Strong communication skills and the ability to work effectively with vendors, drivers, supervisors, and coworkers.

* Detail-oriented with a commitment to accuracy and follow-through.

* Ability to work in both office and shop environments as needed.

* Overtime and schedule flexibility may be required based on operational needs.
