The Imaging Coordinator is responsible for coordinating various exams for multiple Radiology modalities through incoming calls and task lists. It is the responsibility of this position to verify that patient demographics and insurances are current and CPT and diagnosis codes are verified at the time of coordinating the exam.

Reports to the Diagnostic Imaging Operations Manager

Principal Responsibilities

  • Coordinate Radiology procedures using Radiology Information System (RIS) through incoming calls from patients, providers' offices, or task list.
  • Answer, screen, and route calls in a courteous and respectful manner following departmental guidelines, assisting patients and/or providers accordingly.
  • Verify that an exam scheduled has an appropriate diagnosis code and CPT code.
  • Verify that prior authorization has been obtained for exams requiring prior authorization.
  • Communicate pending pre-certification information issues with technologists and Radiology management.
  • Work with Springfield Clinic team members as well as outside providers to obtain correct order and insurance authorization documentation.
  • Review the necessary patient screening information to safely scan patients while ensuring billing procedures are followed.
  • Verify insurance eligibility and update as needed.
  • Build worker's compensation cases in APM (Allscripts Practice Management).
  • Build referrals for MOHA and outside providers in APM to attach to imaging appointments with authorization information.
  • Collaborate with technologists, on-site radiologists, and/or management to maximize scheduling efforts.
  • Work wait lists in RIS.
  • Modify imaging schedules in order to accommodate add on patients.
  • Screen patients in regards to contrast, pacemaker/defibrillator, hardware, and implantable devices to ensure patients' exams can be safely performed at Springfield Clinic.
  • Determine if patient will need accommodations to ensure compliance with ADA standards and/or interpreter services and schedule accordingly.
  • Responsible for providing exam expectations and necessary required preparation to the patient.
  • Use effective oral and written communication with a variety of health care professionals, patients, and their advocates.
  • Comply with the Springfield Clinic incident reporting policy and procedures.
  • Adhere to all OSHA and Springfield Clinic training & accomplishments as required per policy.
  • Provide excellent customer service and adhere to Springfield Clinic's Code of Conduct and Ethics Standards.
  • Perform other job duties as assigned.

Secondary Responsibilities

  • Check in patients for Radiology procedures, verify patient demographics and update information as needed, as well as register new patients.
  • Ensure that precertification and insurance information is correct and update as needed.
  • Scan consents and signed documents into patient's chart.
  • Schedule x-rays on a walk-in/outpatient basis.
  • Scan outside reports into PACS system.
  • Ensure all outside images and reports are obtained.
  • Burn discs for patients and Correspondence and work with the Release of Information team to verify accurate documentation.
  • Assist with the preparation of sending out letters of communication.
  • Collect payments and coordinate patient billing with Radiology Financial Counselor or patient Customer Service Representative.

Education/Experience

  • High School graduate or GED required.

Knowledge, Skills and Abilities

  • Ability to control emotions and maintain composure under stress, using tact and good judgment.
  • Excellent organizational and interpersonal communication skills.
  • Excellent computer and telephone skills.
  • Self-motivated and able to problem solve.
  • Clear, articulate speaking voice.
  • The employee must be able to lift, walk, stoop and sit at a computer for long periods.
  • Must possess manual dexterity to use keyboard and handle equipment and appliances.
  • Do not need prior radiology experience.

Working Environment

  • Medical office environment.
  • Direct patient contact is involved
