Job Summary

The Office Coordinator serves as the primary point of contact for office operations, providing front desk reception, administrative support, and facilities coordination to ensure an organized, professional, and efficient workplace. This role manages office communications, visitor services, vendor relationships, office supplies, employee onboarding support, meeting coordination, and facility operations while maintaining a welcoming environment for employees and guests. The Office Coordinator also provides administrative support to leadership as needed and supports remote office operations.

Job Responsibilities



  • Serve as the first point of contact for visitors, employees, and general office inquiries.
  • Greet and direct visitors while providing a professional and welcoming office experience.
  • Answer and route incoming calls, emails, and general inquiries.
  • Receive, sort, and distribute incoming mail, packages, courier deliveries, and shipments.
  • Assist employees with outgoing mail and shipping needs.
  • Coordinate office operations and complete assigned administrative projects.
  • Troubleshoot office equipment issues and coordinate repairs with vendors and service providers.
  • Maintain office equipment, including printers, copiers, audiovisual equipment, and other technology resources.
  • Ensure reception areas, conference rooms, and shared office spaces remain clean, organized, and professional.
  • Manage office supply inventory and order office, kitchen, and facility supplies as needed.
  • Coordinate vendor services, including cleaning, maintenance, security, and other facility-related contractors.
  • Support new employee onboarding by coordinating office access, workspace setup, parking, lockers, and office orientation.
  • Schedule meetings and assist with conference room reservations and meeting logistics.
  • Provide technical support for meetings and coordinate with internal support teams as needed.
  • Serve as the primary contact for facility management regarding building maintenance, repairs, heating and cooling issues, parking, and related operational matters.
  • Maintain employee access records and coordinate office security access.
  • Coordinate office events, meetings, and hospitality activities.
  • Process office-related vendor invoices and coordinate with Finance regarding operational requirements.
  • Support leadership with general administrative and scheduling duties as assigned.
  • Maintain office procedures, documentation, and operational guidelines.
  • Perform other duties as assigned.


Job Requirements



  • Minimum of 2 to 3 years of experience in office management, office administration, facilities coordination, or business operations required.
  • Bachelor's degree preferred.
  • Experience performing administrative and clerical functions.
  • Strong knowledge of office operations, administrative procedures, and office technology.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Experience coordinating meetings, calendars, and office events.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects simultaneously in a fast-paced environment.
  • Ability to work independently with minimal supervision.
  • Strong customer service and interpersonal skills.
  • Ability to troubleshoot basic office technology and coordinate vendor support.
  • Experience managing vendor relationships and office service providers preferred.
  • Ability to quickly learn new systems, procedures, and technologies.
  • Fluency in English required; additional language skills preferred.


Education



  • Bachelor's degree preferred.


Work Experience



  • Minimum of 2 to 3 years of experience in office management, office administration, facilities coordination, or business operations required.
