Position Summary Information












Primary Purpose
The Assistant Director reports to the Associate Director of University Housing for Student and Administrative Services. This Assistant Director is responsible for overall management of departmental communications, summer conferences, student and family departmental/campus initiatives such as Open Houses & Orientations, social media, marketing/branding, and assists with housing assignments.
The Assistant Director will also serve on-call in the summer, assist the Associate Director with various projects, oversee all communication, attend various meetings and serve on departmental and university wide committees and task forces as assigned.
Minimum Qualifications
Bachelor's degree and two years direct experience or Master's degree

* Housing experience
* Experience using a variety of software, technology, communication tools (StarRez, YouTube, Instagram, Adobe Suite, Google Applications, Etc.)
* Experience presenting in front of groups
* Experience responding to and handling various crisis and emergency situations
* Experience working with college students
* Strong written communication skills as demonstrated in the application materials
Essential Duties and Responsibilities
Supervision
* Direct supervision of two full-time staff members, multiple graduate student employees, all summer conferences staff, and indirect supervision of other full-time housing staff working with conferences.
* Supervises student intern and workers.
* Supervise 3-5 Graduate Assistants and 40 student Conference Assistants during the summer months, May through August
* Conduct bi-monthly one-on-one meetings with full-time and graduate assistant staff.
* Provide on-going staff training and development.
* Complete formal evaluations through PeopleAdmin and other appropriate resources.
* Work to create an environment of mutual support and encouragement of teamwork.
* Assist with the recruiting, selecting, and training of all student staff members in area.

Communication
* Oversee Enrollment Management recruitment events for the department including open house, admitted student days, and transfer orientations.
* Guide the direction and support for marketing/branding functions within the department.
* Manage communications for University Housing including print media, digital media and social media.
* Communicate daily with students and other university constituents.
* Provide oversight to ensure University Housing is compliant with copyright and university guidelines
* Create University Housing materials to provide to students, parents, and other departments.
* Coordinate newsletters and residence hall communications for the department.
* Work with departments in Student and Academic Affairs to digitally advertise events and initiatives in the residence halls.
* Work with closely with New Mountaineers & Family Engagement on large events for students and families
Summer Conferences and Events
* Administer housing for all conferences and camps for the department, serving and housing 8,000 guests per summer.
o Coordinate with Facilities, Conference and Event Services, Residence Life, Athletics, and other constituents for each conference, camp, or event.
o Prepare halls, keys, check-in materials, and rosters.
* Manage all billing for housing, damages, and other requested services totally ~$650,000 per summer.
* Create a comprehensive summer conferences and events schedule, including summer school, that includes facility projects to share with all University Housing staff.
* Supervise and train 3-4 graduate and 40 undergraduate student staff.
* Schedule, train, and evaluate all summer staff on a variety of topics including, but not limited to, crisis management, customer service, summer policies and procedures, and university resources.
* Work collaboratively with Facilities, Administration, and Residence Life to prepare halls for move-in of 6,300 students.
* Oversee and maintain documentation for all housing related billable items.
* Work with a variety of departments in Student and Academic Affairs to ensure summer guests' needs are met.
* Guide staff through resolving issues and providing excellent customer service to all guests and camp managers.
* Guide summer conferences through annual cycle; October-January schedule development, February-March staff recruitment and selection, April-May staff training, May-August conferences and events on-campus, August close-out camps and prepare for opening, and September-October reconcile summer billing.
* Works closely with the Minors On Campus Policy and compliance and training of staff.
Administration
* Analyze, synthesize, and evaluate data gathered through surveys, focus groups, and other interactions to inform decision making in relation to summer conference, technology, housing contract, and administrative processes and procedures.
* Chair and serve on departmental committees annually.
* Support technology functions within department and residence halls; such as StarRez, TimeClockPlus, website platform, social media accounts, Banner, WhenToWork, CS Gold, Google applications, etc.
* Conduct student contests and opportunities to provide feedback regarding University Housing residence halls and services
* Work with University Housing staff to select promotional materials.
* Discuss, implement, and evaluate policy-making decisions affecting University Housing
* Assist in achieving department goals, as part of the department's large group leadership team
* Meet 1:1 weekly with Associate Director of University Housing for Student and Administrative Services
* Develop and maintain collaborative relationships with other functional areas of housing (Residence Life and Facilities) and areas/departments the position works with (Orientation, Conferences & Events, University Communication, etc.)
* Perform administrative tasks as delegated by the Associate Director.
* Develop housing Memorandum of Understandings with Orientation, Conference and Event Services, and other offices
* Serve on task forces and search committees as requested or approved by supervisor
Crisis Management
* Provide leadership during crises in the residence halls.
o Work collaboratively with University Police, Office of General Counsel, and Conference and Event Services to resolve crisis and safety related situations in the halls during summer months with minors and adults.
o Train all summer staff on the Summer Crisis Management Manual policy and procedures.
o Read and respond to on-call logs submitted every night in each of the residence halls.
* Work closely with University Police and Environmental Health, Safety, and Emergency Management to follow all institutional and departmental guidelines.
* Educate guests on the Housing and Appalachian State crisis protocols and policies.
Teaching, Presentations, & Development
* Teach one university course per year as needed
* Presenting in front of groups - this includes admitted student days, admissions team, orientation sessions, transfer sessions, residence life training, scholar days, and parent & student panels.
* Coordinate presentations for Summer staff training.
* Facilitate periodic professional development and training sessions for University Housing staff as needed.
* Present various housing information throughout the year to incoming and current students, along with parents, staff, and faculty.
* Understand best practices in housing and student affairs.
* Involvement in conferences at the national level, continue to grow and change summer conference experiences, marketing & communication, and technology to meet constituent needs.
