The Lead Senior Storekeeper serves as a key member of the Supply Chain Management (SCM) Logistics team, supporting warehouse operations including receiving, storage, distribution, inventory control, surplus management, and gas cylinder operations. Reporting through Operations Management to Executive Director of SCM, this position is responsible for coordinating daily warehouse and distribution activities while ensuring efficient material handling, inventory accuracy, customer service, and regulatory compliance. In addition to performing core warehouse functions, the Lead Senior Storekeeper provides operational guidance and training to staff, including supporting warehouse package delivery training programs, onboarding new employees, and training team members on surplus, e-waste and recycling processes, warehouse management systems, and handheld devices. This role assists with quality control initiatives, communicates operational updates and reports to the immediate supervisor and leadership, and supports process improvements to enhance warehouse efficiency and service levels. The Lead Senior Storekeeper serves as a resource for surplus and materials management, including coordinating sorting, handling, shipping, receiving and customer communication related to inbound and outbound materials, e.g., pallets, plastic, and paper recycling. The position also oversees gas cylinder operations by ensuring cylinders are properly labeled, received from vendors, inventoried accurately, prepared for vendor pickup, and delivered on schedule. The Lead Senior Storekeeper troubleshoots operational and vendor-related issues, follows up on concerns to resolution, and promotes a strong culture of safety throughout the warehouse. Supports warehouse operations, surplus management, and route planning while promoting safe work practices, operational excellence, and customer-focused service. As needed, the Lead Senior Storekeeper performs labor service duties in both lead and helper capacities to ensure timely and accurate delivery of materials throughout the organization. General Duties
- Provide daily guidance and support of warehouse staff regarding standard operating procedures and departmental expectations.
- Support and assist with training employees on warehouse package delivery program (PDP), warehouse operations, safety procedures, handheld devices, ASCTrac warehouse management system, gas cylinder management, and surplus operations.
- Verify daily PDP load planning is accurate and support route optimization as well as ensure that all packages are accounted for.
- Train and assist on package delivery, warehouse management system, and hand-held devices.
- Assist and oversee outbound package carts are loaded onto the assigned delivery vehicles according to routes.
- Assist with quality control activities to ensure compliance with departmental processes, operational standards, and customer service expectations.
- Communicate operational issues, workflow concerns, performance trends, and process improvement opportunities to supervisor and leadership.
- Lead and support surplus operations, including sorting, staging, processing, and coordinating inbound/outbound surplus materials.
- Communicate to supervisor on surplus/waste pickups, plastic, pallets, and cardboard recycling.
- Train and assist on warehouse procedures such as, gas cylinder process (receiving, labeling, inventory, timeliness of orders and empty cylinder returns).
- Ensure gas cylinders are filled correctly, labeled, receive gas cylinders from vendors, and verify inventory levels as needed.
- Prepare empty gas cylinders are staged correctly for vendor pickup.
- Troubleshoot customer and vendor-related issues and ensure timely follow up and resolution.
- Perform labor service duties as needed and assist other helpers.

Material Distribution
- Staging at the Delivery Site
Unload and organize all materials to keep the dock and staging areas clear and free. Keep items in the order of route key or by urgency. Account for all accountable items (those that require signatures) and obtain signature as needed. Examine packages for visible damage or leakage particularly those labeled hazardous. Items for delivery/collection my range from a single envelope to multiple boxes which may require several trips to and from loading dock or delivery vehicle.
Within the allotted time frame, deliver gas cylinders using appropriate mechanical equipment techniques to handle up to 200lbs. Carefully match the type and quantity of items, delivery locations, and recipient with manifest and obtain legible signatures verifying identification and printing name and contact number on the form. Fasten and secure cylinders in assigned place and remind customer to store alcohol in appropriate place. When collecting empty cylinders ensure that they are empty and annotate on log sheet to ensure customer receives credit for demurrage.
Within the allotted time frame, deliver and collect materials according to the specific delivery sequence. Inspect collected material for quality, verify that it has a delivery address and for outgoing, verify that it has a franking number, a return address, and in the appropriate container. Inspect collected packages for proper packaging and seal. For security, delivery cart must be within sight at all times and locked (if equipped).
- Accountable and Expedited Materials
Secure legible signatures verifying identification and printing name and contact number on the manifest for special delivery service (e.g., computers, laptops, and checks) or for accountable mail and packages (e.g., Express Mail, Registered, Certified, and Insured). Inspect outbound accountable mail and expedited packages for franking number, return address, and shipping information and prepare using hand-held scanning device (if available) to scan barcode and/or enter appropriate information. Verify contents of merchandise being returned to vendor and determine if insurance is required. If item is for inspection for pick-up by vendor, give to Warehouse for safekeeping; otherwise, send to Outgoing for shipment.
- Office and Lab Supplies Packages
Within the allotted time frame, distribute multiple packages of lab and office supplies, small equipment, and controlled substances adhering to the protocol of each lab. Hazardous materials require special handling and done in accord with rigid delivery standards. Secure legible signature verifying identification and printing name and contact number on the manifest. Enter required information in the handheld device assigned to that route. For security, delivery cart must be within sight at all times and locked (if equipped). |

Customer and Administrative Duties
Extend appropriate greeting and cordially interact with customers, in a pleasant and audible voice mindful of time constraints. - Administrative and On-going Training
Comply with standard administrative expectations such as: a) Appropriate use of time recording device or systems, the accurate completion and timely submission of Leave Statement for time-off, vacation and sick leave requests, and overtime work. b) Perform certain record keeping or benchmarking activities, e.g., volume counts, inventory, time study, or other benchmark data, and enter into electronic data entry forms (either Filemaker or Excel) or manually in logbooks or paper sheets. c) If assigned to external delivery run which requires driving, complete vehicle log sheet and fuel the vehicle using a university credit card and return the credit card and receipt to supervisor. Immediately report to supervisor any injuries, accidents or parking citations. d) Keep accessible cellular phone (provided by the department) if the route assigned requires carrying mobile phone. e) Actively participate in organization climate surveys and other surveys if selected. f) Attend and participate in staff meetings and required University meetings like Sexual Harassment and Zero Tolerance and technical training sessions on body mechanics (proper lifting), refresher on delivery routes, USPS postage rates and requirement, operation of various types of warehouse and delivery equipment such as forklifts, roll-a-lifts, pallet jacks, J bars, hand trucks, dollies, etc. g) Review departmental websites and guidelines for Logistics' updates and report any obsolete information. Temporary Coverage and Assistance Whenever necessary, provide assistance to other areas of Logistics (i.e., mail, distribution and warehouse operations): a) Sort and case mail by box numbers and if address is incomplete, research the recipient using the campus database. b) Wrap-up for specific mailstops verifying mail and parcels correspond with mailstop. Arrange bundled mail in the mail cart according to designated sequence. c) Process incoming USPS accountable mail (Express Mail, registered, certified, and insured) entering delivery information in the database and generate signature forms. d) Perform ad hoc pick up and delivery service of non-material items. e) Assist in retrieving and returning items from storage, in clearing and staging surplus items. |
