Overview
The Staff Assistant II provides administrative and operational support for the department and serves as a primary point of contact for patrons, visitors, and clients. Incumbents in the Staff Assistant II position perform a variety of administrative support and customer service duties requiring knowledge of departmental operations, administrative systems, and software platforms. This position supports multiple staff members and assists with day-to-day office and operational functions.

Responsibilities
Typical Functions
  • Serves as the primary on-site, in-person contact for patrons, visitors, and clients by providing information, answering questions, and assisting with requests.
  • Performs office duties including answering phones, directing calls to appropriate parties, responding to emails, data entry, filing, appointment coordination, and other general administrative duties as assigned.
  • Provides administrative support to departmental staff through various operational and special projects, including but not limited to purchasing support, inventory management, record keeping, reporting, and data tracking.
  • Coordinates and manages operational software platforms and tools including Paciolan, Clover, PayPal, Jotform, Canva, and other department systems as needed.
  • Assists with payment processing, registrations, customer transactions, and reconciliation support through approved departmental systems.
  • Creates, updates, and maintains forms, templates, communications, graphics, and other digital materials to support departmental operations and programs.
  • Assists with maintaining organized records, databases, files, and documentation to ensure operational accuracy and efficiency.
  • Coordinates communication between staff, patrons, vendors, and external partners regarding departmental operations and services.
  • Maintains office and operational supplies and assists with purchasing and inventory tracking.
  • May assist with website updates, marketing materials, event support, and departmental outreach efforts.
  • Performs miscellaneous job-related duties as assigned.


Qualifications
Minimum Qualifications
  • Two years of experience in an office setting or an asociate degree is required; or an equivalent combination of education and experience.

Preferred Qualifications
  • Experience working in a customer service or public-facing environment.
  • Experience with platforms such as Paciolan, Clover, PayPal, Jotform, and Canva.
  • Experience with administrative support, purchasing, inventory management, or event operations.
  • Familiarity with university or organizational administrative processes.

Knowledge, Skills, and Abilities
  • Skilled with computers and related software programs.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational and time management skills.
  • Strong verbal and written communication skills.
  • Ability to provide excellent customer service in a fast-paced, public-facing environment.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work independently and manage multiple projects simultaneously.
  • Knowledge of administrative and office support procedures.
  • Ability to learn and manage multiple operational software systems and platforms.
  • Attention to detail and accuracy in record keeping and data management.
