    Job Responsibilities:

    1. Provides clerical and administrative support to the building principal, including scheduling appointments, preparing correspondence, and maintaining the building calendar.
    2. Creates and oversees production of bulletins, newsletters, weekly fliers, forms, correspondence, mailings, staff handbooks, parent handbooks, student directories, and reserve teacher folders.
    3. Oversees the daily operations of the main office, backs up phones for the building office assistant, provides customer service, and ensures all visitors are properly signed in.
    4. Records and reports payroll hours for paraprofessionals and clerical staff. Verifies employee attendance and assigns payroll codes in Frontline Absence Management.
    5. Maintains the school's Skyward student management system, including setting up courses and sections, setting up schedules, and printing requested labels and various reports.
    6. Coordinates student enrollments and withdrawals. Completes appropriate paperwork, updates Skyward System, and transfers records. Submits monthly enrollment figures and maintains permanent records to provide data regarding state aid/reports.
    7. Monitors the Frontline Absence Management substitute system for the building and ensures that all teacher and para substitute needs are filled on a daily basis.
    8. Provides coverage for the health office during Health Para lunch and rest breaks.
    9. Anticipates and prepares appropriate materials and facilitates various procedures to help promote a smooth transition for students and staff at both the opening and closing of the school year.
    10. Coordinates Kindergarten Registration in the spring and Kindergarten Orientation in the fall.
    11. Provides work direction and guidance to other office assistants, paraprofessionals, and volunteers in the office. Monitor and intervene if needed.
    12. Anticipates and provides clerical and administrative support to principal, staff, students, and parents.
    13. Acts as liaison between school and parents, staff, PTA/PTO, and surrounding community.
    14. Assists in monitoring building security for the safety of the students. Assists in responding to emergency needs to students, staff and visitors. A member of the Emergency Procedures Chain of Responsibility for the school.
    15. Provides supervision to students who are detained in the office for discipline issues until the principal, administrative assistant, or other appropriate personnel are available to deal with the problem.
    16. Instructs new staff and volunteers in the operation of various equipment and district/office procedures (voice mail/e-mail/reserves) and location of supplies.
    17. Coordinates bus safety classes and the early dismissal process for all students.
    18. Participates on various school and district committees/meetings.

    Qualifications:

    1. Evidence of ability to maintain confidentiality on all correspondences, communications, and school-related information.
    2. Evidence of successful work experience using advanced features of Google Docs and Sheets, Microsoft Word, Outlook, and Excel.
    3. Evidence of ability to process documents at a minimum typing rate of 60 wpm.
    4. Evidence of excellent human relations and communication skills.
    5. Evidence of excellent attention-to-detail and strong proofreading skills.
    6. Evidence of ability to prioritize and handle multiple tasks simultaneously.
    7. Evidence of ability to work with minimum supervision.
    8. Evidence of ability to anticipate, analyze, and problem-solve various situations.
    9. Evidence of excellent organizational and record-keeping duties.
    10. Evidence of ability to stay on task with frequent interruptions.
    11. Evidence of ability to perform duties under pressure, handle constant interruptions, and adjust to changing priorities.
