Job Summary

The Sales Administration Associate provides administrative and operational support to the Inside Sales team by managing incoming calls, processing quotes and sales orders, and ensuring accuracy throughout the order lifecycle. This role serves as a foundational position for individuals seeking advancement into a future sales trainee or inside sales role. The position offers hands-on exposure to sales processes, customer interactions, and product availability while developing strong attention to detail and organizational skills.

Job Responsibilities

Review and proofread customer quotes and sales orders for accuracy, completeness, and compliance with company standards.
Enter quotes and sales orders into the system in a timely and accurate manner.
Proofread, distribute, and file customer order confirmations and related documentation.
Answer and distribute incoming sales calls to the Inside Sales team.
Assist with overflow sales calls and support quoting.
Maintain professional, clear, and courteous communication with customers and internal teams.
Update the sales team on material availability and order status.
Expedite customer orders by coordinating with internal departments as needed.
Review and monitor sales reports to support sales activity tracking and follow-up.
Process returned material and internal credit requests accurately and in accordance with established procedures.
Distribute incoming mail and faxed documents to the appropriate sales team members.
Gain exposure to pricing, quoting, and sales support functions to build foundational sales knowledge.
Perform additional administrative duties and assist with special projects as assigned.

Requirements & Qualifications

High School Diploma or equivalent.
Experience directly related to the administrative, customer service or sales support.
Proficient in using computerized systems, including ERP or ordermanagement software, for data entry and order processing.
Excellent interpersonal skills and verbal communication skills with ability to speak clearly and professionally.
Ability to perform basic mathematical calculations.
High level of attention to detail.
Working knowledge of Microsoft Office applications (Word, Excel, Outlook)
