Provide administrative assistance and support for Manufacturing Operations. This assistance includes facilitating daily office procedures, SAP updates and reconciliations, and overseeing office supply inventories. Compiling data to complete required reports. Draft, edit, and complete various types of correspondence, both internal and external. Maintain files. Coordinate respective activities with other supervisors and employees. Responsible for other projects and assignments, as required. Overall, present a consistently helpful and positive demeanor while performing these responsibilities.



Essential Functions and Responsibilities




  • Incumbent is primarily responsible for providing daily administrative support for Plant Operations. To do so effectively, the incumbent must be in tune with production objectives, reporting requirements, and other expectations. Must be both proactive and reactive, depending upon daily issues that arise. Support Operations by maintaining effective administrative systems and procedures, including correspondence, filing systems, monitoring inventories, e-mail and voice communications, workflow efficiencies, etc.
  • Assure working knowledge of applicable aspects of the SAP system, particularly as it relates to material transactions. Maintain system updates as required for accurate production documentation and reporting. As noted above, must be computer savvy, with solid working knowledge of systems software.
  • Gather, compile, and organize information and data to accurately complete required reports for Operations. Document wide range of information mostly related to production tracking and analysis. This would include regular and Ad Hoc reports at Operation's request. Handle data entry pertaining to production, shipping receipts, material transactions within the SAP system, and other production-related information. Must be highly proficient with computer systems. Disseminate appropriate aspects of these reports, as directed. Coordinate with others, as deemed necessary. Maintain absolute confidentiality on sensitive issues.
  • Communicate routinely via correspondence. Draft letters, memos, narrative reports and/or summaries, as directed. Use proper grammar and traditionally recognized business writing style. Edit, package, and distribute as needed.
  • Coordinate with other facility Operations' supervisors, as well as other managers and employees. Become familiar with other administrative support staffs to facilitate communication and actions more readily between their offices.
  • Aid in Administering 'best practices' to ensure Operations group is well informed about all matters pertaining to daily operations. Keep Management notified of any items requiring immediate attention. Triage other items for attention, based on importance and timeframes. Determine priorities and act accordingly.
  • Administer other projects and assignments, as directed. Remain flexible about changes in workload and time commitments.

Education and Experience



  • High school graduate or equivalent. Additional business curriculum/studies considered. SAP Experience required.
  • Prefer 3-5 years related experience, industry specific candidates will be given preference.
