We are seeking an experienced, highly polished Executive Assistant to provide strategic administrative support to senior executive leadership. This is a temporary-to-hire opportunity offering the potential to transition into a permanent position based on performance and business needs. The role is based in Downtown Chicago and follows a hybrid schedule, with in-office attendance Monday through Thursday and remote work on Fridays.

In this highly visible role, you will serve as a key liaison between executive leadership and internal and external stakeholders, helping ensure seamless operations and enabling leaders to focus on strategic initiatives. The ideal candidate is resourceful, organized, anticipates needs before they arise, and possesses exceptional judgment when handling confidential information.

What You'll Do



  • Manage complex executive calendars, scheduling, and prioritization of meetings and commitments
  • Coordinate domestic travel arrangements, including flights, accommodations, transportation, and itineraries
  • Prepare executive correspondence, presentations, reports, meeting materials, and other high-level documentation
  • Support executive leadership with meeting preparation, agendas, note-taking, and follow-up actions
  • Serve as a professional point of contact for internal teams, external partners, and senior stakeholders
  • Anticipate executive needs and proactively resolve scheduling conflicts and administrative challenges
  • Organize and coordinate large meetings, leadership events, and cross-functional initiatives
  • Assist with budget tracking, expense reporting, and administrative operations
  • Maintain organized electronic and physical filing systems while safeguarding confidential information
  • Support special projects and strategic initiatives as assigned

Qualifications



  • Bachelor's degree or equivalent combination of education and experience
  • 8+ years of experience supporting C-suite executives or senior leadership teams
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Outstanding written and verbal communication skills
  • Strong project coordination and organizational abilities
  • Experience managing complex calendars, travel arrangements, and executive communications
  • Ability to work independently while collaborating effectively across teams
  • Ability to travel occasionally within the United States
