Overview

The Specialist (Grant Administrator) leads the administrative processes of the Community Affairs, Strategic Partnerships team including grants database setup, grant and sponsorship application intake, routing, grant diligence compliance, processing and payments. This position also manages the processing and payment for the companys matching gifts program and Government Affairs non-profit grants. The specialist has primary responsibility for the monitoring and reporting for the departments philanthropic and operating budgets. The role is responsible for all departmental payments and budget reconciliation processes in coordination with corporate finance. This position supports all internal and external reporting of the department from a budget perspective. Finally, this positions interfaces with Community Affairs, Regional Corporate Affairs teams to support community grantmaking and sponsorships.

Responsibilities

Core Responsibilities

  • Administers Strategic Partnerships Department Budget including O&M, sponsorships, memberships and charitable contributions; reconciles spending; manages accrual process in coordination with Corporate Affairs budget administrator and provides regular reports to the team on budget status, grants paid and pending; identifies improvement opportunities.
  • Serves as administrator of the companys matching gift program. Handles all administrative and reporting responsibilities affiliated with the program.
  • Manage all components of grants processing from applications, payments and grant close out so activities are smoothly operating; maintain and improve practices that support the grants management function.
  • Develops and maintains the integrity of the grants management system and its data.
  • Manages grants management vendor including due diligence, controls, payments, and troubleshooting. Acts as liaison with IT to ensure vendor software remains current with new releases and is properly tested as needed.
  • Generate reports and analyze data for the board book and other reporting needs.
  • Conducts compliance review, interacting with relationship managers and grantee partners, to ensure that all supporting documentation is accurate, adequate, and consistent with regulations and policies; oversee internal and external audits and other assessments
  • Supports the training and professional development of staff in compliance, internal grant process and technology for efficient use of resources; serve as a thought partner to the team by consulting with legal, tax and compliance.
  • Supports grant managers and grantees with administrative assistance and troubleshooting for grant applications and reporting.
  • Serves as emergency responder and participates in all aspects of Public Affairs responsibilities during emergencies and assists in preparation of emergency preparedness information.
  • Performs other related tasks and assignments as required.

Qualifications

Required Education/Experience

  • Bachelor's Degree and two years of related work experience or
  • Associate's Degree and four years of related work experience or
  • High School Diploma/GED and five years of related work experience

Relevant Work Experience

  • Strong attention to details and a firm commitment to meeting deadlines, required.
  • Proficient in MS Office (Excel, Word and PowerPoint), required.
  • Must have outstanding presentation, interpersonal, oral and written communications skills, required.
  • Excellent project management, oversight, coordination and planning skills, required.
  • Self-directed and able to contribute individually and as a member of a team, required.
  • Strong technical skills and experience using Oracle, preferred.
  • Ability to analyze and interpret data and anticipate trends and issues, preferred.
  • Strong analytical skills, particularly with financial data and budgets, preferred.
  • Proficiency of Benevity Grantmaking and Oracle, preferred.
  • Proven vendor management expertise, preferred.
  • Experience in compliance and risk management, preferred.
  • Deep experience in working with relational database construction and operation, knowledge of specific grant making database platforms, preferred.
  • Experience in creating, managing and communicating complex budgets, required.

Licenses and Certifications

  • Driver's License Required

Additional Physical Demands

  • The selected candidate will be assigned a System Emergency Assignment (i.e., an emergency response role) and will be expected to work non-business hours during emergencies, which may include nights, weekends, and holidays.
  • Must be able and willing to travel within Company service territory, as needed.
