Minimum Experience/Education

Bachelor's degree and one year of experience related to the area of assignment; or and equivalent combination of training and experience.

Preferred Years Experience, Skills, Training, Education
* Bachelor's or Master's degree, and/or six or more years experience working with the elderly, aging-related fields, working on public health projects with a health education focus, demonstrated understanding of health disparities, ease in communicating with experts and lay individuals.
* Be comfortable using digital meeting technology, Microsoft Office Suite, CANVA, Email Marketing Software, and other software platforms as needed. Supporting content development and management for COAACH-related messaging including website information and social media postings would be beneficial to the grant COAACH Program Leader.
* The Program Leader should have experience coordinating, developing, evaluating, and managing community outreach, education, and center-based programs, with a working knowledge of supporting research-related activities.

Position Overview




Primary Purpose of Position
* The overall goal for the COAACH Program Leader for the COAACH Center for Outreach in Alzheimer's, Aging and Community Health ( COAACH) is to provide leadership, coordination, and operational oversight for the management and development of the Center's community outreach, education, and programmatic initiatives, while dedicating approximately 25% of effort to supporting research grant activities affiliated with the Center.
* The COAACH Program Leader will assist the COAACH Director in outlining the strategic goals of the Center, designing and implementing effective outreach programs, and working closely with community partners to produce community health and education events.
* The Program Leader will specifically focus on creating, promoting, and producing community health education and outreach initiatives with an aging related focus that advance the Center's mission, strengthen community engagement, and support awareness of brain health, aging, and community health initiatives. A part of the position's responsibilities will include supporting research-related outreach and recruitment activities associated with COAACH-affiliated grants.
* One of the collaborative initiatives supported by COAACH includes the state and federally funded grants. In support of this efforts, the COAACH Program Leader will dedicate effort to assisting with recruitment-related activities, and working with different providers of aging services across Greensboro, rural communities, and the broader state of North Carolina.
* In addition to the duties above, the Program Leader will independently manage a broad range of business, administrative, and operational affairs for COAACH. Primary responsibilities include providing administrative support in the areas of financial resource management, and planning and organization of Center operations.
* The Program Leader will assist with managing the day-to-day workflow of the Director's office; coordinate Center activities; serve as a primary public contact for internal and external constituents; oversee budgets; exercise discretion and judgment in handling confidential matters; coordinate meetings; manage special projects and events; and provide supervision and leadership to staff and students.
* The Program Leader serves as the first point of contact for university administrators, faculty, staff, students, parents, vendors, alumni, stakeholders, and the general public in coordinating COAACH business affairs, including personnel administration, office coordination, and budget monitoring and management.
Primary Function of Organizational Unit
North Carolina Agricultural and Technical State University is an 1890 land-grant doctoral Research University dedicated to learning, discovery, and community engagement. The College of Science and Technology enrolls over 2514 students. It is a national leader that serves and engages the citizens of the state of North Carolina, the nation, and the world through preeminence in science and technology education, research, discovery, and innovation. The College houses the departments of Applied Engineering Technology, Biology, Built Environment, Chemistry, Computer Systems Technology, Mathematics and Statistics, Physics, and the Ph.D. Program of Applied Science Technology. The College is experiencing substantial growth in enrollment, faculty size, curricula, and research..

The overall mission of COAACH is to improve healthy aging in different communities. The center is N.C. A&T's first formal Community Outreach Center and the first center of this type in the State of North Carolina on a Historically Black University's campus. The goal of the center is to improve health through outreach and improve literacy, awareness and engagement among different communities. The four major cores of the center are: 1) community outreach and education in Alzheimer's, Aging and Community Health, 2) intervention and support, 3) education and training, and 4) research in the field of Alzheimer's disease.
Work Hours 8-5 M-F; some after hours and weekends required

Key Responsibilities and Related Competencies


Required Competency Knowledge
Duties
* Completes a broad variety of detail-oriented administrative and operational affairs in support of COAACH programs and affiliated grants.

* Applies substantive knowledge of financial and business practices in assisting the Director with the scope and complexity of Center operations and grant-related activities.

* Collaborates daily with University Administrators, Deans, Department Chairs, Administrative Support Associates, faculty, staff, students, and the general public in compiling documents for meetings and reports, and preparing agendas and materials.

* Serves as the COAACH liaison between university administration, faculty, staff, students, parents, alumni, and external organizations, answering questions, explaining Center programs, and disseminating information.

* Works closely with the COAACH Director to coordinate Center-sponsored events, programs, and initiatives.

* Manages human resources administration for COAACH, including transaction processing, time reporting, records maintenance, hiring, evaluations, and compliance with HR policies and procedures.

* Assists in the preparation of contractual agreements for external reviewers and consultants.


Required Competency Budgeting
Duties
*Review budget requests and other financial transactions for accuracy, and compliance with established regulations and financial impact (Overhead, State, Contracts and Grants, Foundation, Scholarship, and Philanthropy) through the AggieMart and BANNER financial accounting systems.)

Enter purchase requisitions, reconcile procurement card statement and track COAACH foundation expenditures.

In conjunction with the COAACH Director provides expertise on budgetary matters related to finances of COAACH including preparing operating budgets, streamlining requests, preparing expense requests, coordinating service contracts, etc.

Gathers invoices and receipts for COAACH events and miscellaneous purchases for Grant, State and/or University reimbursements.

Collaborates with the COST Dean's office in budgeting and purchasing efforts, the allocation of new budgets, and year-end closeouts.

Assist with the preparation of budget documents and reports required for Budget and Planning.

Keeps reports of data and expenditures for internal or external reviewers


Required Competency Work Coordination/Planning
Duties
* Works in collaboration with the Director of COAACH, Grant Study PIs, Grant Program Specialists, and students to manage study outreach and recruitment events.
* Works in collaboration with the COAACH Director and COAACH staff to manage Center outreach activities, events, and programming, while dedicating approximately 25% effort to supporting grant-related outreach and recruitment activities.
* Establishes and fosters strong, trust-based working relationships with community members, aging service providers, and faith-based organizations to support COAACH's mission, enhance community engagement, increase awareness of brain health and aging initiatives, and facilitate participation in outreach programs and research-related activities. This includes ongoing relationship building, coordination of joint activities, and serving as a liaison between the Center and community stakeholders.
* Assists the Director with meetings, agendas, scheduling, announcements, and coordination of logistics.
* Collaborates with the Director and Dean's Office in preparing materials and reports and establishing priorities and deadlines.
* Assists in the development of long-range planning and strategic initiatives for COAACH and affiliated research activities.
* Directly supervises student employees, and research or community ambassadors, providing support, feedback, and professional development.
* Supports grant PIs and Grant Program Leader, Specialists, and Coordinators in recruitment-related activities, budget oversight, data coordination, and liaison work as needed.
* Exercises the delegated authority of the position with diplomacy, integrity, and tact while handling sensitive and confidential information for faculty, staff, students, alumni, and advisory board members in disseminating information.

Independently compose, edit, proof, and review incoming correspondence with community partners, community members, and internal stakeholders, determine priorities for action, and respond appropriately to inquiries, requests, and issues.
