Job Summary
The UC Davis Health IT Division's Enterprise Analytics and Data Services (EADS) team delivers integrated analytics and data services in support of the organization's missions in clinical care, research, education, and community engagement. This Administrative Analyst (PPA3) position provides high-level operational, analytical, and administrative support to both the Director of EADS and the Director of Data and Analytics Strategy.
The Administrative Analyst supports complex, high-priority, and time-sensitive initiatives with broad departmental and enterprise impact. Responsibilities include maintaining leaders' high-volume, high-complexity calendars, coordinating activities across multiple stakeholders, organizing meetings, synthesizing information and preparing draft documents and slides, tracking priorities, action items, and deliverables to support effective program execution and decision-making.
Working with a high degree of independence, this position applies analytical and organizational skills to research, evaluate, and summarize information related to departmental programs and strategic initiatives. The position requires sound judgment, discretion, and the ability to address ambiguous or evolving needs while balancing competing priorities.
This position also supports a broad range of administrative, business, and fiscal functions, including budget monitoring, operational and process improvement efforts, and project scheduling and coordination. This position regularly collaborates with the EADS Strategic Program Manager and other senior stakeholders to align day to day activities with strategic priorities and timelines.
The Analyst exercises initiative, originality, and professional judgment in applying established policies, principles, and practices to complex or novel situations, with primary focus on programs, projects, and proposals that have significant impact across EADS, UC Davis Health, and the broader enterprise. - High School diploma or GED or equivalent experience
- 3-5 years of progressively responsible experience in administrative analysis, program coordination, or executive-level support in a complex environment
- Experience coordinating complex meetings and calendars, including stakeholder coordination, conflict resolution, and logistics (virtual and in-person)
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools such as Teams and SharePoint
- Experience with AI tools such as Open AI, ChatGPT, Anthropic Claude, or Microsoft Copilot
- Experience preparing professional presentations, summaries, and basic data analyses for diverse audiences
- Experience collaborating effectively across teams and synthesizing information from multiple sources
- Strong verbal and written communication skills (typically 3+ years), with the ability to communicate effectively across all organizational levels
- Advanced analytical and problem-solving skills to assess issues, prioritize work, and deliver in a fast-paced, high-pressure environment
- Excellent writing and editing abilities, including tailoring content for different audiences under tight timelines
- Proven ability to exercise judgment, discretion, and maintain confidentiality in sensitive situations
- Experience providing administrative and analytical support to leadership, including research and synthesis of information
- Ability to quickly learn and apply knowledge to support analysis and reporting
- Demonstrated ability to manage multiple priorities and deadlines, independently prioritize work, and adapt in a fast-paced setting
Preferred Qualifications
- A college degree in Business Administration, Health Care Administration, Computer Information systems, or equivalent education and experience.
- 6+ years of advanced experience supporting executive leadership, programs, or projects in healthcare, higher education, or similarly complex organizations
- Advanced experience proactively managing executive calendars, including prioritization, conflict resolution, and stakeholder alignment
- Intermediate experience/proficiency with AI tools such as Open AI ChatGPT, Anthropic Claude, or Microsoft Copilot
- Experience developing SharePoint/Teams environments and creating executive-level presentations, dashboards, or visualizations
- Experience integrating and analyzing data from multiple systems to inform reporting and decision-making.
- Experience supporting budget, financial tracking, or operational analysis.
- Experience using enterprise software tools such as ERP, CRM, supply chain, travel/expense and other productivity/operational tools (e.g. ServiceNow, Smartsheet, Aggie Travel, Concur, Qualtrics, Docusign)
- Extensive experience (6+ years) applying independent judgment, critical thinking, and problem-solving in executive-level support environments
- Demonstrated ability to proactively identify issues and implement solutions to improve processes or programs
- Advanced skills in research, analysis, and synthesis, including evaluating options and developing recommendations
- Strong interpersonal skills with the ability to build relationships and collaborate across teams
- Familiarity with lean six sigma or other quality improvement methodologies
