| Primary Purpose of the Organization: |
The mission of the Charles Waddell Chesnutt Library is to support the University in its educational, research and cultural endeavors through careful selection, acquisition, organization, and interpretation of information resources, In addition, the Chesnutt Library assumes its special role as a major cultural resource for the community and the region at large.
The operational mission of the Government Documents Department is to provide access to government publications and render assistance to library users in the 2 Congressional District. |
| Primary Purpose of the Position: |
The Electronic Resources Technician ensures reliable user access to eBooks, databases, and government documents by maintaining accurate holdings and metadata across library platforms and external systems. The position supports activation workflows, subscription records, license configuration in Alma under the guidance of the Assistant Director for Resources, and metadata quality control while troubleshooting access issues and verifying system consistency. This role contributes to the discoverability, compliance, and seamless accessibility of electronic resources through workflow support, reporting, and system monitoring.
The primary purposes of this role are to:
- Maintain accurate activation and management of electronic databases, eBooks, and government documents
- Support metadata accuracy, system consistency, and data integrity across Alma, discovery systems, and external systems (e.g., Tipasa, Springshare, OCLC Worldcat)
- Troubleshoot and resolve access issues reported by users and staff
- Maintain and track subscription records, KBART files, and license terms under guidance from the Assistant Director
- Support collection assessment through usage statistics and reporting
- Participate in projects to improve workflows and efficiency
- Other duties as assigned
Through careful attention to detail and system accuracy, the Electronic Resources Technician helps maintain the integrity, discoverability, and accessibility of the library's electronic collections in support of teaching, learning, and research. |
| Minimum Education and Experience Requirements: |
Completion of high school and two years experience in office support, preferably as a library technician in a library. |
| Knowledge skills and abilities: |
Knowledge -
Program/Technical - Demonstrates knowledge of the arrangement and classification of U.S. federal and North Carolina state documents. Demonstrates proper recording, handling, and processing of government documents received in print and non-print formats (journals. indexes, books, paper, microfiche, CDs, and DVDs). Demonstrates knowledge of the serials check-in module of the
OCLC
WMS with a 98%* accuracy rate while paying close attention to detail. Has a working knowledge of circulation policies and procedures.
Client/Patron Service - Provides general and specific information to assist users with inquiries regarding the location and content of the government documents collection. Assists with requests received in person, by email, telephone, or by letter. Assists users with identifying and using federal and North Carolina websites to access government forms and information.
Data/Information/Records Management - Records, compiles, and submits accurate statistics of Federal and North Carolina state government documents materials, which are submitted in monthly and annual reports. Tracks and compiles statistics on patrons' use. Instruction - Instructs and explains to users the basic guidelines, policies, and procedures for the proper use and handling of materials in the collection. Develops guides to assist users with collections, including libguide. Updates government documents brochure when necessary.
Communication (Presentations, Oral and Written) - Greets and communicates clearly to library users about services, policies and procedures in using the collection. Answers questions promptly or refers patrons who have more complex questions. Turns in a monthly report on activities-outreach, classes, and statistics.
Planning and
Organizing Work/Supervision - Directs in training, supervising, and evaluating student workers and manages the circulation desk during
evening and weekend rotations. |
| Preferred Qualifications: |
* Proficiency in Microsoft Excel, including use of formulas, functions, and basic data analysis for tracking subscriptions, usage statistics, and reporting.
* Experience with electronic resources, discovery systems, and library metadata management.
* Familiarity with electronic government documents and federal depository requirements.
* Experience collecting or reporting usage statistics (e.g.,
COUNTER reports).
* Knowledge of
KBART files,
OCLC,
ALMA or library system workflows.
* Experience supporting license management, vendor communication, or subscription tracking.
* Ability to work collaboratively in a team and manage multiple tasks. |
