Office of Institutional Equity

Job Description

The Case Manager provides key support for the Institutional Equity investigative team, including case file management, case auditing, scheduling interviews, incident report intake, conducting initial inquiries of new reports, triage and referral of incident reports unrelated to discrimination or harassment, assembling materials for hearing panels and other decision makers, document preparation and editing, and tracking professional development and other data required for ensuring compliance with federal law and campus policy. This position has daily interaction with faculty, staff, students, administrators, visitors and other stakeholders, and will assist the Director with data collection and analysis for annual report or other special projects. This position handles highly confidential material in a sensitive, detailed, and unbiased manner, and will make independent decisions regarding planning, prioritizing, and scheduling their work.

This position requires a broad understanding of organizational operations and procedures, particularly the University's nondiscrimination policies and resolution processes. This position serves as front-line staff in our Heinkel office.

Office Administration
* Manage and conduct daily maintenance of case file database throughout the life cycle of a case, from incident report to resolution and completion of sanctions. This includes converting incident reports into case files via Maxient case management software, assisting investigators with documentation of all interaction with parties, collection of evidential artifacts, preparing investigative materials for consideration by hearing panels, appellate officers, or other decision makers, and updating case file to reflect decisions rendered and sanctions implemented.
* Provide front-line interaction with visitors or callers, including taking incident reports, sharing campus policy and resource information with complainants, respondents and their advisors, scheduling interviews, coordinating educational presentations. Requires excellent customer service skills and working knowledge of campus offices and resources, as well as university policy.
* Conduct initial inquiries for less complex incident reports and provide referrals to appropriate resources for matters outside the purview of OIE, including consultation with OSAS, HR, MUPD, or other resources, at the direction of the Director. Monitor campus police reports and news outlets for incidents relevant to our work.
* Provide general office support including fielding widely varied phone and email inquiries, mail handling, correspondence and report creation and editing, website updates, template updates, scheduling and tracking professional development for the team, and calculating and scheduling case deadlines on shared and individual calendars. Utilize cloud storage/Teams to organize shared materials and projects. Provide occasional backup for AVC's executive assistant.
* Perform data collection and analysis as requested by the Director, AVC for Institutional Equity, or Investigators, for annual reporting, Clery reporting, federal compliance, Sunshine Requests, or other special projects as needed. Complete background checks for internal and external inquiries

Other Responsibilities
* Develops a basic understanding of the University's nondiscrimination policies and the Equity Resolution Processes in order to respond to basic information requests.
* Treats all constituents engaged in the Equity Resolution Process with sensitivity and neutrality.
* Contributes to the overall success of OIE and MU by performing other essential duties and responsibilities as assigned.

M-F 8a-5p, additional hours as needed

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

* A bachelor's degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired is strongly preferred.
* Minimum of 1-2 years of related experience in business administration, personnel administration, higher education administration, public relations or a related field.
* Experience assisting with the day-to-day functions of a fast-paced, customer-focused office.
* Excellent time management skills and ability to multitask and prioritize work.
* Superior written and verbal communication skills.
* Excellent organizational skills, accuracy, and attention to detail.
* Outstanding people skills with strong customer-centered orientation.
* Experience with or demonstrated ability to maintain confidentiality.
* Knowledge of office management systems and procedures, including extensive office software skills and Internet research capabilities.

Anticipated Hiring Range

Salary Range: $24.04 - $26.44 hourly

Grade: GGS-8
