Every service call starts as a puzzle: a customer need, a technician's schedule, a missing part, a billing detail, a moving timeline. As a Service Coordinator with Bartingale Mechanical, you'll be the one who brings the pieces together, keeping the day moving, the team supported, and customers confident that help is on the way. Essential Duties & Responsibilities:
To successfully perform this role, an individual must be able to carry out each essential duty satisfactorily. The requirements outlined below represent the knowledge, skills, and abilities necessary for the position.   • Answer service phone calls and follow up on all customer inquiries in a timely and professional manner.
  • Accurately document and assign work requests received by phone, verbally, or via email.
  • Confirm and include all required billing information, such as "bill to" details, purchase order numbers, not-to-exceed amounts, potential warranty considerations, billable work confirmation, and any related work details.
  • Enter service requests into the dispatch software program and manage the process from initial assignment through final completion.
  • Actively manage the dispatch console, including rescheduling technicians as needed and coordinating on-call services for after-hours and weekend service requests.
  • Assist service technicians with parts procurement as needed.
  • Work with Project Managers to schedule technicians for small service projects.
  • Monitor and manage the manpower spreadsheet and open work order spreadsheet, and schedule technicians as soon as possible.
  • Responsible for timesheets and tracking employee time.
  • Gather service work requirements, as requested, to help ensure an accurate scope for quoting.
  • Prepare quotes that include labor, materials, and equipment needs.
  • Document information within the file structure, track updates within the spreadsheet, and ensure approval is received before finalizing.
  • Manage customer complaints and escalate to management as needed.
  • Provide training and support to technicians and the service team as necessary to promote smooth workflow and customer satisfaction.
  • Assist with customer surveys as requested.
  • May serve as a backup for preventive maintenance (PM) contract renewals and help keep PM contracts current, including installed items, materials, and scheduling notes.
  • May serve as a backup for scheduling all PM work on a monthly basis and updating schedules as applicable.
  • May assist with accounts receivable collections and billing support.
  • Perform other duties as assigned.

Required Education & Experience:

  • One year or more of experience in a complex business office with the ability to work in a fast-paced environment.
  • Professional experience in a customer service or customer support role.
  • Effective communication skills, including verbal, written, and presentation skills.
  • Strong attention to detail with the ability to track information and follow through on tasks.
  • Proficiency in Microsoft Office programs, including Outlook, Word, and Excel.
  • Ability to learn and navigate department- and company-specific systems, including Astea, WebApps, Samsara, and SharePoint.
  • Working knowledge of iPhone and iPad functions and capabilities.
  • Previous experience in maintenance, service, or construction is preferred.
  • Mechanical aptitude and knowledge of HVAC, plumbing, or related areas is a plus.

Other Details:

  • This position will report in person to Eau Claire, WI.
