| Primary Purpose of Organizational Unit |
New Student & Family Programs (NSFP) is responsible for transitioning over 5100 first-year students and over 1000 transfer students into the UNC community, as well as establishing and maintaining relationships with over 30,000 families of Carolina undergraduates. NSFP provides new undergraduate students and families with programs and services aimed at supporting their transition to the University of North Carolina at Chapel Hill, with the goal of supporting retention and success in the higher education environment. |
| Position Summary |
The Office Manager is responsible for day-to-day administration and event/program support in New Student & Family Programs (NSFP). This includes providing excellent customer service to Carolina students and families through written and verbal communication, providing critical event planning support (managing registration processes and logistics), maintaining inventory and supplies, and providing administrative support to the NSFP Director and Management Team. In addition, the Office Manager supports NSFP budget processes by initiating payments and reconciling expenditures. This position reports to the NSFP Director. Manage the day-to-day administrative operations for New Student & Family Programs, specifically:
- Maintain office wide email accounts and responses to phone calls and messages and making referrals as needed.
- Inventory and ordering for supplies for all programs.
- Manage departmental records, reports and files for archival purposes.
- Oversee facility needs.
- Coordinate IT support.
Event and Program Support
Serve as primary liaison to IT for online event registration for two signature NSFP programs - New Student & Family Orientation and Carolina Family Weekend, specifically:
- Train NSFP professional and student staff as needed in collaboration with IT.
- Manage the registration processes (i.e., event confirmations, reservations changes, reporting to NSFP team and campus partners).
- Coordinate payment plans and reminders for Orientation participants.
- Manage the service indicator process for accounts past due.
Administrative Support for Director and Management Team
- Maintain calendars for Management Team (Director and Associate Directors).
- Provide scheduling, travel planning, budget administration and general administrative support to Director.

| Minimum Education and Experience Requirements |
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work. |
| Management Preferences |
- Experience with providing administrative and logistic planning support for large-scale events.
- Experience maintaining confidentiality and handling sensitive information in an appropriate manner.
- Experience with Connect Carolina, Microsoft Office suite applications, and/or other data management platform(s).
- Prior experience in the higher education setting.
