The Duke Occupational Therapy Doctorate (OTD) Division seeks a highly organized and proactive Staff Assistant to support day-to-day operations and key program initiatives. In this role, you will serve as a central point of coordination for administrative functions, events, and faculty, staff, and student support, helping ensure the Division runs efficiently and effectively.
You will manage complex calendars for the Division, coordinate meetings and events, support faculty and leadership, and handle sensitive communications. This is a fast-paced role with a mix of independent work and collaboration, ideal for someone who is detail-oriented, responsive, and comfortable managing multiple priorities.
Minimum Requirements
* Associate's degree or equivalent experience
* Strong organizational and time management skills
* Ability to manage multiple tasks and priorities with minimal supervision
* Strong written and verbal communication skills
* Experience supporting administrative or operational functions
Preferred Qualifications
* Bachelor's degree
* Experience in higher education, academic programs, or healthcare settings
* Experience with event planning and logistics
* Familiarity with Duke systems (e.g., Concur, Buy@Duke) or similar platforms
Other Requirements
* Ability to handle confidential information with discretion
* Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
* First 90-days full-time onsite presence required with option to shift to 3 days in/2 days work from home hybrid option.

* Coordinate administrative operations by managing calendars, scheduling meetings, preparing materials, and supporting divisional leadership
* Support the planning and implementation of events (e.g. graduation), including logistics, catering, budgeting, and onsite coordination

Support faculty and staff through onboarding coordination, travel arrangements, and maintaining functional office and learning environments
* Manage communications and documentation by drafting correspondence, preparing reports, and recording/distributing meeting minutes
* Process payments, track expenses, manage vendors, and monitor budgets
* Support coordinating Orthopaedic Hybrid Grand Rounds and core curriculum activities, including scheduling presenters, managing attendance tracking, preparing rotation and schedules.

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $19.80 to USD $30.63.
