Essential Job Duties
The department is seeking a detail-oriented Procurement Support Specialist to facilitate the daily administration of purchase order (PO) workflows. In this temporary role, you will serve as a central coordinator, managing high-volume email triage and ensuring that purchase orders are accurately processed and distributed via the AiM software platform. Key objectives include maintaining high data integrity by auditing error logs, managing PO updates and revisions, and actively clearing system backlogs to ensure seamless procurement operations.

Key Responsibilities


1. Communication & Triage


  • Email Management: Monitor the department's shared group account.
  • Stakeholder Relations: Act as a central point of contact for vendors and internal departments to ensure timely inquiry resolution.



2. Procurement Operations


  • Error Logistics: Audit and resolve daily error logs to maintain high data integrity.
  • Requisition Support: Assist with the end-to-end management and processing of Marketplace Requisitions (REQs).
  • Reporting: Analyze the bi-weekly "MarketPlace Received Not Paid" report to facilitate prompt vendor payments.


3. Systems & Backlog Management


  • PO Lifecycle: Actively manage and close out the existing backlog of open Purchase Orders (POs).
  • Inventory Support: Provide support for housekeeping stock orders within the AiM system (comprehensive training provided).


4. Procurement & Purchase Order Management


  • System Administration: Generate and process purchase orders (POs) for vendors and shop pickups utilizing the AiM software platform.
  • Workflow Execution: Manage the initial lifecycle of purchase orders, including accurate system entry, internal routing, and timely distribution to external vendors.
  • Lifecycle Maintenance: Serve as the primary point of contact for PO updates and revisions, ensuring vendors have the most current documentation for fulfillment.
