Executive Assistant - Nursing Dean's Office

Position Summary: Supports the Dean to advance the goals and strategies of the College of Nursing (CON). As a member of the leadership team in the CON this position provides leadership for management in strategic initiatives. Supports and works collaboratively with the Dean along with the Executive Finance Director and in determining budget for grants and general current funds and manages budgets.

Essential Functions:

  • Collaborate with the Dean to determine present and future initiatives and strategic planning.
  • Prepares and processes independent, faculty, and special faculty contracts. Calculates amount for special faculty contracts and monitors costs per semester and by program. Prepares and processes financial contracts.
  • Serves as interface for the Dean, faculty, staff, and students.
  • Communicate, gather, and maintain, information related to budget and finance to dean and other constituents.
  • Draft and prepare correspondence and reports as directed by the Dean. Provide administrative support for meetings, agendas, minutes, travel, receptions/luncheons, calendar, and etc.
  • Maintain a current knowledge of relevant institutional policies and processes regarding faculty, HR, and state board of nursing regulations for faculty. Ensure appropriate processing or FMLAs, rank and tenure dossiers, hiring and onboarding compliance forms.

Education & Experience:

  • Bachelors degree required
  • Six years of administrative experience

Knowledge, Skills, and Abilities

  • Expertise with Microsoft Office suites; willingness to learn new software tools as needed to support the work and projects of the Deans' Office and CON.
  • Demonstrated experience in event planning and support.
  • Experience handling confidential information. Demonstrated track record of discretion in addressing confidential matters and sensitive situations.
  • Outstanding organization, problem-solving, analytical, and decision-making abilities. Demonstrated ability to meet deadlines, prioritize multiple tasks, manage projects, and work independently without close supervision.
  • Demonstrated analytical and problem-solving skills and abilities.
  • Effective interpersonal skills and the ability to communicate effectively verbally and in writing with multiple and diverse constituencies.
  • Impeccable attention to detail.
  • Ability to remain flexible, optimistic, and effective in a rapidly changing, dynamic environment.
  • Demonstrated commitment to customer service and the ability to create a welcoming, inclusive, positive work environment for people from a variety of backgrounds and communities.
