Job Description
The Naval Nuclear Laboratory is seeking a proactive and highly organized Senior Administrative Assistant to join the Kesselring Site team, providing essential clerical and administrative support to managers, engineers, and technicians as they advance key equipment development initiatives.
This role will regularly use a variety of office software tools and participate in administrative projects that improve processes within the Repair Division and the Naval Nuclear Laboratory. You will provide clerical and administrative support to your manager and collaborate closely with peers across the organization. Responsibilities include preparing, maintaining, and tracking sensitive data such as promotions, postings, performance appraisals, and security requests, as well as analyzing information and sharing relevant trends with management. The position requires verifying information for completeness, accuracy, and compliance with standards and applying strong administrative skills and knowledge of policies and procedures to enhance organizational effectiveness.


Additional areas of opportunity for this role include:




  • Support the development, review, and issuance of technical letters and documents to ensure quality.


  • Coordinate travel and manage senior manager calendars, including out?of?office delegations.


  • Track organizational commitments and schedule meetings.


  • Prepare agendas, take and distribute meeting minutes, and follow up on action items.


  • Prepare and format presentations; write and proofread short communications for projects and initiatives.


  • Regularly update the RD SharePoint site with accurate information such as org charts, project countdowns, write?ups, and other key content.


  • Maintain online and physical filing systems to ensure documents are organized, accessible, and retained per requirements.


  • Manage RD employee recognitions by tracking awards, maintaining records, and drafting recognition write?ups.


  • Procure office supplies through online ordering or the warehouse.


  • Maintain the RD conference room to ensure it is organized and properly equipped.


  • Compile reports and share information with stakeholders in a timely manner.


  • Collaborate with the AA community to support KS and share best practices, tools, and resources aligned with RD priorities.


  • Utilize a variety of software programs, including custom tools, while maintaining up?to?date proficiency with new technologies.


Required Combination of Knowledge and Skill
High school diploma or equivalent and a minimum of 4 years of relevant experience; or Associates degree from an accredited college or university in a related field and a minimum of 2 years of relevant experience; or Bachelors degree from an accredited college or university in a related field.

  • Experience using the Concur travel system
  • Experience managing complex schedules
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office applications
  • Extensive administrative experience with exceptional attention to detail
  • Familiarity with SharePoint

Pay Range
$52,300.00 - $78,500.00 annually
Salary information provided is a general guideline only. Annual salary is based upon candidate experience and qualifications, as well as market and business considerations.

The Naval Nuclear Laboratory is operated for the U.S. Department of Energy (DOE) by Fluor Marine Propulsion, LLC (FMP), a wholly owned subsidiary of Fluor Corporation. For nearly 70 years, the Naval Nuclear Laboratory has developed advanced nuclear propulsion technology, provided technical support, and trained world-class nuclear operators to ensure the safe and reliable operation of our nation's submarine and aircraft carrier Fleets.
