Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

- Manages administrative office operations and assists all office locations as needed.

-Oversee daily administrative procedures, maintain office equipment, and manage inventory of office supplies.

-Scheduling and Coordination. Organize meetings, appointments, and company events (in-person or virtual).

-Create, maintain, and update files, reports, and memos.

-Manages executive calendars and complete expense reports via Concur.

-Responsible for meeting coordination to include scheduling, agendas, taking minutes & distribution, and coordinating catering needs.

-Responsible for executive travel arrangements and calendar management.

-Responsible for office security and main point of contact for office building management.

- Oversee facility management of the practice, office equipment and space allocation. Administers repair requests with outside vendors and property management companies.

-Responsible for coordinating trades required for general office maintenance, to include electricians, plumbers, painters, and security.

-Manages contracts with supply & janitorial companies, document destruction services, and medical apparel and linen services.

-Plans and coordinates office moves, adds and changes with respect to office relocation and construction.

-Requisitions new equipment, coordinate repairs with vendors.

-Assists with staff appreciation and engagement. Manages practice employee recognition program.

-Manages practice phone list and executive director's survey line

-Other job duties as assigned


Qualifications

MINIMUM QUALIFICATIONS: Bachelor's degree in a Business or Healthcare related field. Minimum seven years experience in healthcare management, including at least two years in a supervisory capacity.

Requires full range of body motion including manual and finger dexterity and eye-hand coordination. Requires standing/sitting for extensive periods of time. Occasionally lifts and carries items weighing up to 40 lbs. Requires corrected vision and hearing to normal range.
