POSITION SUMMARY:

The Planned Services Specialist will assist in the daily operations of all planned services offered to our Commercial and Residential customers including our in-house asset management system, Tecta Tracker.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Create, review, edit and finalize Tecta Tracker projects and reports in a timely manner.
  • Create records, summaries, and updates to ensure better communication and company-wide understanding of the Tecta Tracker program.
  • Monitor and coordinate the planning and implementation of the Tecta Tracker program and the projects, policies and practices that it involves.
  • Support planning and coordination of the Tecta Tracker program and its activities.
  • Maintain updated records and reports.
  • Resolve administrative issues by analyzing information.
  • Communicate with team members to ensure maximum efficiency, including keeping them up to date with relevant project information, deadlines, etc. and maintaining constant communication with multiple service managers.
  • Update customer cards, equipment cards, scheduled maintenance cards, etc.
  • Set up schedules to run all planned services throughout the year
  • Communicate with scheduling department on service ticket status
  • Communicate with customers on warranties about to expire, or a skipped planned service.
  • Support growth and program development


JOB SPECIFICATION:

Education/Experience:
  • Associate's Degree or equivalent from two-year college or technical school; or at least one year of related experience and/or training; or an equivalent combination of education and experience.

Knowledge, Skills, and Abilities:

  • Demonstrates the ability to maintain high levels of confidentiality.
  • Possesses strong phone contact handling skills coupled with active listening.
  • Exhibits a customer-oriented approach with the adaptability to respond to diverse individuals and situations.
  • Shows initiative in learning and quickly implementing new skills or procedures.
  • Skilled in multitasking, prioritizing, and managing time effectively.
  • Possesses excellent written and oral communication abilities.
  • Demonstrates strong diligence, accuracy, and attention to detail.
  • Highly customer service oriented with a proactive attitude.
  • Proficient in MS Outlook, Word, and Excel.
  • Capable of building and maintaining effective relationships across all levels of an organization within a collaborative environment.
  • Demonstrates strong planning, organizing, and problem-solving skills.
  • Adept at identifying and resolving issues, following through on tasks to ensure completion, and setting priorities with a sense of urgency to meet deadlines.

Starting pay ranges from $22-$25 per hour, based on experience and qualifications.
