Job DescriptionThe Advancement Operations Coordinator supports all advancement operations functions of The TSTC Foundation. The successful candidate will have strong communication skills, the ability to handle multiple
priorities in a fast-paced environment, and the ability to develop and implement process improvements. The position will be required to work independently and under strict deadlines, exercising good judgment in
recognizing scope of authority and care in administrative detail.
The anticipated salary for candidates meeting all qualifications will be in the 50k range plus TSTC Total Rewards that include full state benefits.

Essential Functions

  • Employee will demonstrate TSTC Core values of Excellence, Accountability, Service and Integrity with internal and external stakeholders, customers, students and members of the community.

  • Assist in the preparation of the division/department budget and/or annual operating plans. Position may be responsible for distribution/pick up of departmental supplies on an as needed basis.

  • Maintain accounting and administrative records/clerical responsibilities.

  • Coordinate the planning, preparation and production of materials for the division/department Meetings, TSTC Foundation board meetings, as needed and scheduled.

  • Process all donations to the TSTC Foundation - Deposit checks and process credit card/online transactions. Enter gift and donor information into CRM software, according to established business rules. Work must be done in a timely manner with a high level of accuracy and attention to detail.

  • Responsible for the in-kind gift program. This involves all aspects of the in-kind process including paperwork, gift entry, and coordination with donor, instructional departments and communication and creative services.

  • Create and send donor correspondence, such as requested receipts, reminders, invoices, acknowledgements, etc. May also include the gift fulfillment process.

  • Assist and support scholarship administration. Assist with gathering and sending out scholarship fund balances each semester. Assist with gathering required information for donor reports. Notify scholarship recipients of their award.

  • Provide customer service to all constituencies, including but not limited to, donors, prospects, alumni, TSTC employees, development staff.

  • Position required to work on campus full-time.

  • Other duties and responsibilities as required.

Education/Experience/Knowledge/Skills

  • Associate's Degree required, Bachelor's degree preferred.

  • 2-5 years professional work experience in an office environment.

  • High level of accuracy and attention to detail.

  • Able to multi-task and prioritize jobs.

  • Good organizational skills.

  • Good communication and customer service skills.

  • Basic bookkeeping experience, preferred.

  • Experience with CRM software, preferred.

  • Assist and participate in TSTC and TSTC Foundation events as needed.

  • This job description covers a position in which the percentage of time spent on the essential functions will vary based on the workload and will ultimately be determined by the supervisor.
