The Quality Review Specialist is responsible for accurate and timely filing, tracking, auditing and uploading of group home documents. Position will provide administrative support including secretarial duties and ensure accurate submission of documentation from group home staff.

Responsibilities:

  • Open, maintain, and close files as directed.
  • Act as a record retention facility contact.
  • Assist with and perform administrative duties as assigned, including but not limited to filing, copying, faxing, shredding, typing, mail distribution, and maintaining spreadsheets.
  • Maintain office supplies inventory and place orders as needed.
  • Assist with individuals served finances.
  • Create, update and distribute departmental training.
  • Complete special projects as directed by supervisor.
  • Comply with all confidentiality and HIPAA policies to protect information of all staff and individuals we serve.
  • Report any suspected abuse, neglect or exploitation immediately to supervisor or departmental head.
  • Complete and send PO's for approval.
  • Send communication monthly to the Directors regarding monthly house paperwork and compliance.
  • Responsible for medical supply and inventory for the group homes and nursing.
  • Complete outcome measures quarterly and yearly.
  • Review reported hours of the group homes, including utilization, and overtime.
  • Review, track and coordinate group home referrals.
  • Ensure monthly management meeting minutes are turned in and distributed.
  • Track and audit all ISP assessments and satisfaction surveys monthly.
  • Conduct management training monthly on policy revisions if applicable.
  • Tracking of new staff satisfaction through 30, 60 and 90 days.
  • Collect, audit and track monthly individual paperwork for completion and accuracy.
  • Complete file audits on a rotating schedule with each group home to be reviewed quarterly.

Needed Skills

  • Ability to multi-task and handle detail.
  • Excellent communication skills.
  • Strong computer skills with experience in Microsoft Office, Excel, Outlook, and PowerPoint.
  • Experience with Individuals with Intellectual Disabilities.
  • Ability to assess and use computer systems including SQL, Provide time Entry, Solver.
  • Ability to interact with staff, families, and the public in a professional and positive manner.
  • Ability to carry out instructions furnished in written, oral, or diagram form.
  • Ability to maintain files, collect data, and prepare succinct reports.

Qualifications

  • High School diploma or GED
  • Two years office administration experience desired.
  • Preferred college degree in related field or experience working with Individuals with Intellectual Disabilities.
  • Reliable transportation
  • Valid driver's license and Insurance.
