JOB SUMMARY: Under the direction of the Reporting Manager and day-to-day direction from the Project Compliance Lead, this position is responsible for establishing new projects, jobs and contracts in our JD Edwards (JDE) ERP system. ESSENTIAL FUNCTIONS:
- Responsible for creating & maintain address records in JDE
- Maintain address records and job master data in JDE
- Maintain and update as needed the use of "Who's Who" contact distribution lists for different ACCO departments, i.e., general accounting e-mails, individual customer accounting e-mails, customer PMs, ACCO PMs, etc.
- Create & Validate Billing "Contracts/Activities" Data in JDE
- Correct and resolve issues pertaining to our Bid Tracer software used by Project Managers to set up new jobs/bids
- Coordinate with ACCO Contracts Department to confirm information supplied is consistently up to date in JDE
- Proactively communicate updates in information that may impact other departments
- Coordinate with Sales Personnel to refine new process and information sharing/handling and data entry into JDE
- Establish markers and solutions to red flags, pitfalls, frequent traps, and persistent misinformation across all ACCO departments.
- Confirm and coordinate new or unusual processes with customers involving:
- Specialty Forms
- Use of Portals
- Billing Deadlines
- Signature requirements (Officer only, wet only, notary required)
- Stored Materials
- Properly link category codes on the job master to notify Purchasing Department accordingly
- Determine if there will be any coordination or info/data sharing with Payroll for new job numbers created
- Refine the use of "Who's Who" contact person distribution lists for different ACCO departments, i.e., general accounting e-mails, individual customer accounting e-mails, customer PMs, ACCO PMs, etc.
- Create checklists for departments who need a more detailed/defined roadmap for problem areas.
- Help in further development and streamlining of our process of establishing new projects into JDE.
- Problem solve to find solutions that will suit both our internal customers (Project Managers) as well as our outside customers.
- Strive for maximum quality of our Master Data and ensure that it is entered with a very high rate of accuracy as well as intuitive questioning of items that do not seem correct or are missing.
- Other tasks and duties as assigned by supervisor and/or ACCO management.
EDUCATION AND EXPERIENCE:
- High School Diploma or equivalent
- 2-3 years of accounting experience
- Associates or bachelor's degree in business or related field, preferred
- Detail oriented
- Must maintain 99.9% accuracy in all data entry
- Must be able to take direction/ supervision and work cooperatively with others.
- Ability to use computer and related software programs to accomplish assigned task (SAP, MS Word, Excel, Power Point
- Must have excellent communication and customer service skills

HOURS: Monday through Friday beginning between 6:00 am and 7:00 am and ending between 4:00 pm and 5:00 pm, with one hour for lunch. Eight hours per day is required, and occasional overtime may be necessary due to business needs. Competitive Wages: $22.59/hr to $29.80/hr.
