Job Summary

Working independently, this position manages a range of financial responsibilities that rotate annually, supporting student accounts and institutional programs such as the University of North Dakota (UND) Flight program. On a regular basis, the role handles transactions including third-party vouchers, collections, refunds, daily balancing and reconciliation, cash summaries, and bank deposits. The position also develops and maintains spreadsheets, runs reports, and analyzes financial data to provide insights and recommendations related to student accounts. Additionally, it collaborates cross-functionally with college departments, district teams, and colleagues at sister colleges to resolve financial issues and support overall student success.

Essential Functions

30% - Student Financial Processing & Account Management:
Manage student-related financial transactions, including third-party contracts and invoicing, student debt authorizations, scholarships and loans, refunds, waivers (including music waivers), book advance overrides, and UND-related processing. Post third-party payments (SBP), process VA Chapter 33 payments and refunds, and complete transfer payments as needed. Coordinate Financial Aid disbursement activities by ensuring funds (e.g., Pell Grants) are accurately released to student accounts and that refund preferences and mailing information are verified for timely delivery.

20% - Accounts Receivable & Payment Processing:
Process Nelnet payments and checks, monitor follow-up reports, handle stale-dated and uncashed funds, and manage stop payments and voids. Ensure accurate and timely posting of payments and reconciliation of accounts.

15% - Fiscal Operations & Cash Handling:
Perform daily cash handling procedures, including opening office cash counts, deposits, blue bag processing, and closing procedures. Maintain accuracy and compliance with cash control policies.

10% - Procurement & Contract Administration:
Support purchasing and contract-related activities, including ProCard transactions, lease and facility use agreements (FUAs), Development Officer MOUs, and Chandler job confirmations. Ensure proper documentation and adherence to fiscal policies.

10% - Reporting & Systems Management:
Generate and maintain reports such as Nelnet follow-up reports and other financial tracking tools. Build and manage E-Store items and assist with system processes such as NAILS and AIT promissory notes.

10% - Customer Service & Student Support:
Provide service and support to students and staff via phone, email, and in-person interactions. Assist with financial inquiries, account resolution, and general cashiering support.

5% - Other Duties as Assigned:
Assist with special projects, copy jobs, and additional administrative or fiscal tasks as needed.

Minimum Qualifications

Bachelor's Degree from a regionally accredited institution in finance, accounting, business or public administration or related field and two (2) years of experience providing professional financial analysis and support in the areas of finance, payroll, budgeting, or a closely related financial/fiscal area of assignment.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

1. Two (2) years of experience using enterprise financial systems such as PeopleSoft (FMS, SIS, HCM), Nelnet, AIMS, or similar systems, including data extraction and reporting.

2. Five (5) years of progressively responsible fiscal experience, preferably in student business services, cashiering, or bursar operations.

3. Five (5) years of experience providing customer service.

4. Two (2) years working in a higher education environment.

5. One (1) year of experience supporting specialized programs (e.g., flight programs) or managing complex third-party billing processes.

6. One (1) year of full-time, relevant MCCCD experience within the previous two (2) years.

**** Experience within other community college systems or higher education institutions is valued and may be considered in addition to MCCCD experience. External candidates are encouraged to apply.

Special Working Conditions

Work may require occasional evenings and weekends to support peak periods, registration cycles, and critical financial processing deadlines. The position also requires the ability to maintain accuracy and attention to detail in a fast-paced, deadline-driven environment, as well as frequent interaction with students, staff, and external partners. May be required to work Multiple sites.
