Under the supervision of the practice supervisor and in line with the policies of the Transplant Service and Ambulatory Services, the HOSP BLANK AST 3 will be responsible for various functions supporting the transplant clinical areas. This role requires a professional and courteous demeanor, with a focus on patient care and administrative tasks. The incumbent will work closely with the clinical staff, ensuring a collaborative environment.
  • Schedule and manage patient appointments, including new and follow-up visits, ensuring timely and efficient patient flow.
  • Handle medication refills, maintain lab orders, and perform other administrative duties as directed by clinicians.
  • Understand and navigate the prior authorization process for post-transplant medications and procedures, ensuring all necessary authorizations are in place.
  • Perform routine clinical duties, such as taking vital signs, reviewing medications, and documenting patient information in the electronic medical record (APEX).
  • Collaborate with the clinical team, including MAs, LVNs, RNs, MDs, and APPs, to provide comprehensive patient care.
  • Ensure accurate and timely data entry into APEX and TeleResults, maintaining patient records and test results.
  • Verify and update patient insurance information, ensuring financial authorizations are in place for appointments.
  • Maintain clinic schedules and calendars, providing backup support to colleagues when needed.
  • Facilitate referrals to other healthcare providers as directed by APPs or physicians, ensuring a smooth transition of care.
  • Maintain a professional and courteous demeanor, adhering to Medical Center House and Telephone Standards.
  • High School Diploma or equivalent, with a preference for a Medical Assistant certification or relevant healthcare training.
  • Minimum of 2 years of experience in a healthcare setting, preferably in a transplant or surgical clinic.
  • Strong knowledge of medical terminology, anatomy, and physiology.
  • Proficiency in using electronic health record systems, particularly APEX, for documentation and patient management.
  • Excellent communication and interpersonal skills, with the ability to work collaboratively in a team environment.
  • Attention to detail and organizational skills to manage patient appointments and administrative tasks.
  • Ability to work independently and prioritize tasks effectively.
  • Knowledge of insurance and authorization processes, ensuring compliance with regulations.
  • Basic computer literacy, including proficiency in Microsoft Office or similar software.
  • A commitment to patient-centered care and a passion for providing high-quality healthcare services.

Salary Information


The final salary and offer components are subject to additional approvals based on UC policy.


Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.
