Job Announcement

The Office of Sully District Supervisor Kathy Smith is seeking a highly motivated and community minded individual to serve as an Administrative Aide & Scheduler. This position is responsible for managing the Supervisor's schedule, overseeing daily office operations, and providing a wide range of administrative support.

Duties include:

  • Managing the supervisor's calendars and daily schedule.
  • Coordinating internal and external meetings and commitments using Microsoft Office.
  • Establishing and maintaining positive working relationships with the public.
  • Serving as the office receptionist and primary point of contact, including answering constituent phone calls.
  • Communicating effectively, both orally and in writing.
  • Performing front office administrative tasks.
  • Managing the scheduling for the Sully community rooms, a free community space available to county residents and non-profits.
  • Drafting and/or editing written materials, such as correspondence and informational materials for public dissemination.
  • Procuring office materials such as copier paper, printer toner, etc.
  • Coordinating travel arrangements.
  • Maintaining the office database of business, community groups, and other contacts.
  • Assisting with planning and coordinating special events.

SALARY: $53,000 or negotiable and commensurate with experience.

Required Knowledge Skills and Abilities

  • Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to handle multiple tasks, manage time effectively, and meet deadlines.
  • Ability to provide excellent customer service and interact professionally with the public.
  • Ability to exercise discretion when working with confidential or sensitive information.

Employment Standards

MINIMUM QUALIFICATIONS:

An associate's degree and two years of experience providing administrative or office support.

NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check to the satisfaction of the employer. Due to the scope and responsibilities associated with the position, the appointee must be willing and able to work some evening and weekend hours. Resident of the Sully District or willing to locate to the area shortly after employment.

PREFERRED QUALIFICATIONS:

  • Experience working in a government, legislative, or political environment.
  • Familiarity with event planning and logistics coordination.
  • Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Excellent interpersonal skills and comfort interacting with elected officials, community leaders, and the public.
  • Experience with constituent services, public facing customer service, or community engagement.
  • Ability to work independently, exercise sound judgment, and adapt in a fast paced, politically sensitive environment.
  • Strong writing and proofreading abilities.

PHYSICAL REQUIREMENTS:
This position is primarily sedentary; may require lifting up to 10 pounds. All duties performed with or without reasonable accommodations.
